This position is in the Scholarship Branch, Division of Health Profession Support in Rockville, Maryland. The incumbent provides administrative, analytical and clerical support to the Scholarship Branch, The incumbent in this position reports to the Scholarship Branch Chief.

Responsibilities

  • Administrative Duties: Tracks controlled correspondence for the office. Ensures that administrative work and activities are completed timely and accurately. Plans, manages, and direct tasks in support of the programs, including: (a) maintaining the office calendars and scheduling appointments; (b) assisting in making necessary arrangements for meetings or conference calls, including such matters as location, schedule, agenda, and assembling background materials or handouts for supervisor; (c) assisting in arranging conferences and travel, including authorizations, schedules, and directions to ensure complete administrative details are complete and processes are outlined and procured; and (d) procuring office supplies and equipment through agency processes.
  • Customer Service: Provides professional customer service to meet the customer's needs. Receives visitors and screens telephone calls by determining the nature and direct appropriately.
  • Program/Staff Support: Plans, manages, and directs correspondences, documents, reports and communication tasks. Performs administrative support performing special projects and preparing reports utilizing electronic application systems, software and databases. Performs a variety of analytical duties such as assessment of work space utilization and work flow of telephone, fax and email inquiries to ensure efficient and effective administrative operation and recordkeeping guidance and disposition are maintained timely and accordingly,

To qualify for this position, your resume must state sufficient experience and/or education, to perform the duties of the specific position for which you are applying.

In addition to the Basic Requirements, you must also meet the Minimum Qualifications stated below.

MINIMUM QUALIFICATIONS:
Your resume must demonstrate at least one (1) year of specialized experience equivalent to at least the next lower grade level in the Federal service obtained in either the private or public sector performing the following type of work and/or tasks: Experience and skilled in an office environment handling multiple responsibilities, deadline and commitments. Applied routine and non-routine administrative support activities utilizing policies, procedures, regulations and guidelines. Arrange meetings, conferences, travel and reservations and prepares routine standard and non-routine reports, presentation material, technical agendas and meeting communications and correspondence. Monitors and track budget expenditures and project management action items. Utilize word processing software and computer system applications to perform technical assignments, requests, communications and correspondences.

You must meet all qualification requirements within 30 days of the closing date of the announcement. Federal employees in the competitive service are also subject to the Time-In-Grade Requirements: Merit Promotion (status) candidates must have completed one year of service at the next lower grade level. Time-In-Grade provisions do not apply under the Excepted Service Examining Plan (ESEP).

Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. IHS may offer newly-appointed Federal employees credit for their directly related previous non-federal experience or active duty uniformed military service. This credited service can be used in determining the rate at which they earn annual leave is earned.

This position has promotion potential to the GS-09 grade level. Promotion to the next grade level is at management's discretion and is based on your demonstrated ability to perform the higher level duties, the continuing need for the higher level duties, and "Regulatory/Administrative" approval. Promotion to the next higher grade level is not guaranteed and no promise of promotion is implied.
