Job Announcement

Position reports directly to the election manager. Strong organizational skills, administrative skills, and attention to detail are required to assist with the preparation and organization of election supplies and materials and to perform various functions ranging from collating and sorting to the preparation of time sensitive election documents and training materials.
Provides administrative support and assistance to effectively manage the election process. Provides support to the election supply manager, election officer manager, and voting equipment manager for various election administration duties as directed by the election manager.
Assists with the preparation of a resource allocation plan, training manual, training/briefing sessions, contingency planning, and other administrative functions prior to each election. Organizes, prepares, and updates a procedural manual outlining election administration functions, including the detailed processes and procedures associated with each function, staffing and resources required to complete the work, any laws and regulations governing the work process, and the timing and deadlines associated with the work performed. Maintains a calendar of election administration functions that are performed prior to each election, as well as functions that are performed on a weekly, monthly, or annual basis, and tracks the status of the work performed to ensure that tasks are completed in a timely manner. Monitors the staffing and resources required to perform Election Administration tasks and helps ensure that appropriate resources are provided. Regularly reviews internal processes and practices and makes recommendations to improve Election Administration operations and improve the efficiency and accuracy of the work performed. Ensures that election administration staff comply with purchasing and personnel procedures. Provides administrative support to the election manager to help ensure that seasonal staff hours and costs are minimized. As a member of the office of elections staff, participates in other activities related to election administration and voter registration on an as-needed basis. A flexible schedule is required before, during, and immediately after election day. Must be able to work extensive evenings and some weekends during peak election periods (starting at least 3 weeks before each election). The assigned functional areas are in communication, office management, general executive assistance, information systems/software, or personnel.

Employment Standards

MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and three years of experience providing administrative support in the assigned functional area(s).

CERTIFICATIONS AND LICENSES.
Must be a registered voter in the Commonwealth of Virginia.

NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check to the satisfaction of the employer.

PREFERRED QUALIFICATIONS:
  • Experience in an election office and with the elections process.
  • Excellent organizational and coordination skills.
  • Excellent Microsoft Office computer skills (especially Word, Excel, and Outlook).
  • Ability to effectively analyze programs and recommend improvements.
  • Excellent written skills and the ability to gather the information needed to prepare a procedural manual.
  • Ability to develop and maintain contingency plans.
  • Ability to work effectively in high pressure, time sensitive situations.
  • Ability to work extensive overtime during and after each election.
  • Bachelor's degree in areas related to government or political science.

PHYSICAL REQUIREMENTS:
Work is generally sedentary, performed in a normal office environment. Ability to lift, move, and assemble election supplies and materials. All duties performed with or without reasonable accommodations.
