Job Description:

The Link Club Grant Operations and Data Coordinator ensures compliance with five 21st Century Community Learning Center (21st CCLC) grants funded by the U.S. Department of Education. The work involves providing human resource, procurement, finance, accounting, and data management support to Link (Linking Instruction Nurturing Knowledge) Club school and community sites to meet the grant requirements to provide free, high-quality after-school services (i.e., homework assistance provided by ACPS teachers, project-based learning, enrichment opportunities) to high-need ACPS students. The position works under general supervision and reports to the Assistant Director of Strategic Initiatives and Community Partnerships.

Qualifications:
  • Education: Bachelor's degree in education or related field or equivalent work experience
  • Experience:
    • Experience managing a federal grant
    • Two years project management experience
    • Experience working with budgets
    • Data entry/management experience
  • Essential Skills:
    • Working knowledge of 21 st CCLC grants
    • Organized with excellent attention to detail and accuracy
    • Dependable, conscientious, and capable of managing multiple deadlines
    • A consummate team player with a flexible and creative approach
    • Knowledge of Microsoft Office is required
    • Ability to work under time constraints and meet deadlines
    • Tech savvy and a fast learner

Essential Functions:
  • Manage hiring and onboarding paperwork for new 21 st CCLC site staff
  • Ensure compliance of site staff background checks
  • Manage and supervise payroll including timesheets approval and related communication to staff on time and attendance policies and procedures
  • Maintain staff Time and Effort sheets
  • Manage purchasing for 21 st CCLC sites
  • Organize and manage fiscal documents such as invoices, credit card statements and bills
  • Reconcile all credit card expenses in Munis
  • Supervise invoicing protocols and submit invoices and reimbursements
  • Manage real time grant spend down and work closely with Assistant Director on local sites budgets
  • Assist Site Coordinators in ensuring compliance with protocols regarding student enrollment, daily attendance, academic services, outreach to families, etc.
  • Assist site staff to ensure compliance with safety and security protocols including required emergency drills and maintenance of student health records
  • Supervise site inventory protocols and maintain inventory of non-consumable program supplies and equipment
  • Assist with professional development sessions for site staff, training staff on operation protocols and their implementation
  • Maintain ongoing communication with community partners and assist with any issues as they arise
  • Manage partners' schedules and ensure adequate space and resources for activities
  • Manage enrichment schedules and ensure adequate space and resources for 21st CCLC activities
  • Create and maintain specific 21 st CCLC site binders including all required documentation
  • Support data collections as required by 21st CCLC grant for the five programs
  • Assist Site Coordinators in the collection of student enrollment and permission forms, attendance sheets, academic records, communication records, etc.
  • Create and submit quarterly grant reports for 21st CCLC programs per grant reporting calendar
  • Attend required webinars and technical assistance meetings for the 21st CCLC grant
  • Ensure 21st CCLC requirements are met with school's administrators and site staff
  • Perform other duties as assigned by supervisor and/or required to comply with 21st CCLC grant


Please note: This a 12 month, 240 day position.

Annualized salary range: $58,656-$72,434.96
