The Administrative Assistant will provide support to the Director of Marketing and Communications and provide support in these areas: Marketing & Communications: Assists with preparing and distributing member communications. Coordinates the distribution of Intermodal Insights and Intermodal Connections publications. Run and distributes metrics reports for website and other communications. Maintains and distributes Editorial Guideline documents and production calendars for communications products/platforms. Maintains and distributes production calendar and related documents for marketing campaigns. Maintains tracking sheet for the production of collateral and promotional materials. Sales, Advertising & Products/Subscriptions: Tracks and maintains financial and other reports on sales, advertising, and products/services. Coordinates advertising placements and invoices for advertising and product/subscription sales. Coordinates the collection of materials from advertisers. Maintains reports and provides monthly advertising activity for Intermodal Insights publication. Association Management System (AMS) Software: Coordinates setting up products, subscriptions, and annual advertising rate cards. Produces lists and reports to sales, advertising, events, marketing, and communications departments. Performs testing on the AMS system in areas related to primary duties. Other Responsibilities: Monitors due dates for deliverables and related assets and communicates with appropriate staff. Answers, screens and routes incoming Marketing & Communications departmental phone calls. Provides phone coverage for the main IANA phone line, on a rotating basis. Maintains and tracks vendor agreements and assists in the renewal process. Develops, updates and maintains SOPs.
