Summary

This position is located at the Office of International Research Programs (OIRP) located in Beltsville, MD.

The incumbent of this position serves as a personal assistant to the Research Leader (RL) and other professional staff, coordinating a wide variety of administrative and clerical tasks essential to the program administration of the Management Unit.

This is a term, time-limited appointment with an initial duration no less than 13 months and can be extended up to a total of 4 years.

Responsibilities

  • Participates in program planning support work such as research project coordination, travel documentation, budget coordination/tracking, agreements, and purchasing/procurement of supplies and equipment, and human resources administration.
  • Assists in developing and executing the annual budget.
  • Serves as the primary administrative business process point of contact for the unit.
  • Prepares travel requests and vouchers for foreign and domestic travel.
  • Receives and reads all incoming correspondence directed to the unit and initiates actions necessary for its proper disposition.
  • Schedules conferences and meetings, including arranging logistics, preparing agendas, and notifying participants.
  • Establishes, maintains, and revises the office filing system.
  • Provides training and advisory services to the Director and professional staff in all program administrative procedures ensuring compliance with regulations.
  • Uses an electronic calendar, database or spreadsheet software to document employee leave schedules and to commit the Director's time for appointments and meetings; transmits and receives documents and messages electronically.

Specialized Experience: Specialized experience is experience directly related to the position to be filled. Specialized experience must be described for each grade level advertised. The specialized experience requirements for this position are:

Qualifying experience for GS-07 includes one year of specialized experience comparable to GS-06 which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position. For this position, specialized experience is experience planning and coordinating administrative tasks; preparing and tracking budgeting or accounting forms; handling all aspects of purchases necessary for an office environment; preparing travel requests; and serving as a timekeeper by preparing time and attendance reports.

In addition to the specialized experience requirement above all applicants must be able to type 40 words per minute.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.
