Summary

These positions are located near the intersection of Rockville Pike and Marinelli Road next to the White Flint Metro Station on the Red Line.

Expenses associated with interview and/or relocation will not be paid.

This position does not require travel.

This is a Bargaining Unit position

Responsibilities

As an Administrative Assistant with the US Nuclear Regulatory Commission, you will review incoming correspondence to keep informed of work performed in the Division. Review correspondence for grammar, correspondence procedure, and proper concurrence. Perform research as necessary on incoming correspondence, assembling all background material including staff papers, reports, regulations and maintains the supervisor's calendar, handling appointments, as well as arranging meetings and conferences, using own discretion, and advises supervisor of such appointments, meetings, etc. Coordinates and adjusts schedule as necessary to meet daily office itinerary. Types letters, memoranda, reports, and other correspondence for the Director, utilizing word processing equipment or other automated systems. Acts as liaison in administrative matters involving scheduling of meetings and conferences between the Director and the Executive Director for Operations, the Commission, representatives of private industry, and top policy groups of other Government agencies. Serves as receptionist for the Division. Receives visitors, including representatives of licensees, government officials, and NRC staff. Uses own discretion in determining which persons will be seen by the Director, or if other staff members can handle the visitor. Composes correspondence of a nontechnical nature. Follows up with staff members on actions desired by the Director to assure effective control of Division activities. Maintains a system, manually or utilizing an automated tracking system, for the proper operation of the Division for handling controlled correspondence or action items in a timely and efficient manner. May be required to serve as the backup to the Office Director's Administrative Assistant. Coordinates administrative work in the Division being done by other Administrative Assistants.

Qualifications

To qualify for this position, you must have at least one year of specialized experience equivalent to the GG-7 grade level in the Federal service or equivalent experience in the private or public sector. Specialized experience is experience which demonstrates the knowledge, skills, and abilities to perform a wide range of secretarial and administrative duties such as: Skill in operating computer equipment sufficient to prepare correspondence, memoranda, presentations, and reports in final form; proficiency in typing is required. Ability to organize the flow of administrative work, to maintain and organize an adequate filing system, and to locate and assemble material for reports and meetings. Experience in using an automated timekeeping system. Ability to handle multiple, time sensitive tasks. Knowledge of format and clerical procedures in order to proofread documents and arrange a variety of materials from different sources in an organized, workable manner. Familiarity with administrative policies and procedures to properly prepare correspondence, make travel arrangements, respond to inquiries of a routine and non-routine nature, record minutes of meetings and conferences, and screen and direct callers to the appropriate division or person.

The ideal candidate for this position will be able to demonstrate the following:
  • Proficiency with microcomputer-based word processing applications, including Microsoft Office (Word, Access, Excel, Outlook, PowerPoint), appointment calendars, emails, and other database applications.
  • Knowledge of proper grammar, spelling, punctuation, and correspondence procedures sufficient to prepare and review outgoing material for correctness, proper format, and completeness.
  • Ability to provide administrative support in a variety of areas (time and attendance reporting, travel, meetings, records management, calendars, etc.)
  • Ability to work efficiently in handling multiple assignments with competing priorities, often under considerable pressure to meet deadlines.
  • Ability to effectively communicate orally and in writing and to deal tactfully, efficiently, and professionally with all levels of personnel.
