This is a professional management position on AIA's Brand & Engagement team, reporting to the Senior Vice President, Brand and Engagement, responsible for working with the SVP, senior staff in Brand & Engagement, staff across the Institute and volunteer leadership to ensure that B&E operations are effective and that departmental initiatives are coordinated and integrated within and outside the department. This requires a strong understanding of the program of work in the various departments in B&E, and the role that B&E plays within the Influence Portfolio and across the building. The manager will develop a strong understanding of the role of the SVP and ensure that the SVP's role is as effective as possible. The Manager will be aware and familiar with the new and key initiatives within AIA to ensure coordination, connection and collaboration as well as inform the SVP's knowledge of key initiatives around the organization. The Manager will oversee the work of the Specialist, Brand & Engagement and also provide administrative and project support on a variety of programs, events, and products for the department.Job DutiesCoordination between Executive Office and B&E for. Annual Report development. Management Reports. Blueprint for Better liaison with Exec Office Administrative staff. Meetings with CEO and/or Chief of Staff and/or President Operations Support to SVP. Manage travel arrangements.. Manage SVP calendar.. Manage major program coordination among B&E departmentso The Big Moveo PR content and Communications (Blueprint for Better campaign, Media relations, AIA Architect and ARCHITECT magazine, Executive Communications, Honors & Awards)o Marketing (Creative and Creative Services, Brand)o Business/Corporate Partnerships (Manufacturers Council, BPMS, Exhibitors/Expo, Major partners-Informa, Hanley Wood, Deltek+Avitruo Conference (Annual Conference, transformation) B&E department & initiatives coordinationo Keen understanding and stay abreast of key initiatives and implications.o Serve as a key point of contact and ensure understanding of the key Points of Contacts in the organization and who should be involved in relevant B&E and Influence Portfolio initiatives.o Stay abreast of AIA policies and procedures and overall structure of the organization relevant to B&E.o Manage "one door" process for the Strategic Communications & Content department-coordinating requests from other departments for communications assistance in the form of press releases, speeches, articles etc.o Coordinate and oversee the annual budget development and monthly review includes changes and corrections.o Plan quarterly reviews among SVP and Managing Directors and teams on goals and budget update.o Working with the Specialist, oversee coordination of monthly reporting in Cascade for Operating Plan and Portfolio updates.o Oversee department invoicing including sponsorships and follow up.o Work closely with Specialist to ensure staff travel is coordinated for Senior & Managing Directors, and SVP ensure adherence to budget.o Manage committee travel, working with committee liaison.o Oversee & work closely with Specialist to ensure catering needs for the department are met with adherence to budget.o Working with the Specialist, oversee & ensure departmental supplies inventory is replenished as needed.o Manage incoming and outgoing mail.o Manage overall B&E calendar & ensure all meetings and special events are current.o Schedule all B&E meetings, including one-on-one meetings with SVP, bi-weekly team meetings, retreats, and meetings with external business partners and vendorso Other duties as assigned. Frequent contacts . Brand & Engagement team staff. Other AIA departments including Executive Office, Accounting/Finance, Advocacy and Relationships, Continuing Education, Product Strategy. Volunteer leaders. AIA Members. Vendors, Building Product Manufacturers KSAs and Training and Experience Considerable skill in providing direct administrative and project support to a team. Demonstrated ability to effectively prioritize and manage multiple projects that have participation from various AIA departments, external organizations and AIA components. Strong diplomacy skills, and the ability to work quickly get up to speed on new initiatives and work well with others. Success in prioritizing duties, retrieving information, tracking projects and maintaining schedules. Strong attention to detail and ability to manage tasks proficiently. Must have strong customer service orientation and oral/written communication skills. Strong decision making abilities and ability to anticipate problems and problem solve. Ability to interact effectively in an individual membership environment, recognize and identify member and organizational concerns, analyze issues and concepts to correctly state a problem and develop recommended solutions. Effective proofreading skills. BA or BS degree in liberal arts, English, communication, business, marketing, architecture or related field and 5-7 years of responsible administrative & project management experience or equivalent combination of education and experience.
