PRACTICE ASSISTANT

LOCATION: Washington, DC (metro-accessible)

PREFERRED HOURS: Monday through Friday, 9:30 A.M. to 5:30 P.M. with 1 hour (unpaid) for lunch

***Firm observes a 35-hour work week

SUPPORTING: Co-Managing Partner, DC Office + 2 Business Attorneys + 1 Litigation Associate

U.S.-based, full-service law firm has an immediate opening for an experienced Practice Assistant to join their DC office and provide support to the Co-Managing Partner, two Business Attorneys, and one Litigation Associate.  Seeking a professional, poised go-getter with excellent time management and critical thinking skills, the ability to problem-solve, and strong presentation skills so as to effectively interact with clients.  Must be highly computer-literate. 

Responsibilities include opening of new client matters, word processing (document production, proofreading, redlining, etc.), general filing, time entry, answering phones, scanning, scheduling meetings, making travel arrangements, submitting expense reports, calendar maintenance, assistance with client development, and handling daily mail.  Also responsible for maintaining various lists, including InterAction database and various marketing lists maintained therein.  Heavy billing assistance working with Elite.  Must work as a team player to assist with overflow work, as needed.  Significant contact with attorneys (internal and external), support staff, clients, and vendors.  Must observe confidentiality of client and Firm matters.

RESPONSIBILITIES:

  • Interacting with attorneys and others within the Firm on a daily basis to manage workload; interacting with clients to coordinate the facilitation of attorney meetings, calls, and other matters as needed
  • Drafting, typing, proofreading, and correcting various documents, including correspondence, memoranda, complex business documents, and marketing materials (including PowerPoint presentations)
  • Scheduling and calendaring client, Firm, and office meetings; coordinating travel arrangements as necessary; maintaining attorney calendars
  • Scheduling messengers and other vendors for pick-up of documents
  • Entering attorney time and reviewing attorney time sheets for accuracy, correcting errors as necessary
  • Reviewing client billing for accuracy, editing content and grammar as necessary
  • Performing administrative functions – preparing check requests for vendor statements, inputting expenses and invoices into Chrome River, assisting with various pro bono and sponsorship/marketing matters for attorneys and the office
  • Organizing and scheduling small and large in-person and video conference meetings (this may include conference room scheduling and meals)
  • Maintaining Outlook calendars and contacts lists, including lists in InterAction
  • Maintaining confidentiality regarding information reviewed and discretion regarding attorneys’ work products/information concerning the Firm

QUALIFICATIONS:

  • Bachelor’s degree preferred
  • At least 3-4 years of recent legal secretarial experience supporting partner-level attorneys
  • Exceptional Microsoft Word, Excel, and PowerPoint skills with the ability to type at least 60 WPM
  • Experience with Elite, billing, conflicts checks, and engagement letters preferred
  • Excellent grammar and proofreading skills required
  • Ability to generate Tables of Contents (TOC) and redline documents
  • Ability to multi-task, anticipate needs, be a self-starter, and integrate to become part of the team
  • Ability to interact professionally with clients, attorneys, and others within and outside of the Firm
  • Ability to manage attorneys’ workload a must
  • Must be flexible to work overtime, as needed (not generally significant but must be available if needed, sometimes at the last minute)
