LEGAL ASSISTANT MANAGER

Elite global law firm is seeking a Manager, Legal Assistants to join their Washington, DC office.  The Manager, Legal Assistants will report to and work closely with the Director of Legal Assistants to administer and coordinate legal assistant staffing and training in the Firm’s department sections and practice groups.  The Manager, Legal Assistants will serve as a liaison between clients, the Firm, attorneys, and legal assistants relating to staffing, projects, and facilities needs, and will perform other duties as required.

RESPONSIBILITIES:

  • Advising practice group legal assistants regarding policies and procedures and ensuring compliance
  • Advising practice group legal assistants regarding their duties and responsibilities, providing them with training and information to be successful
  • Acting as a resource to legal assistants seeking information and guidance regarding their assignments and responsibilities
  • Staffing requests from attorneys and legal assistants for long- and short-term assignments
  • Assessing utilization of full-time and part-time staff, conferring regularly with the Director of Legal Assistants
  • Coordinating staffing and recruiting of legal assistants with the Director of Legal Assistants
  • Preparing quarterly staffing analysis for recruiting efforts
  • Reviewing and approving Firm hourly/contract legal assistant clerk and contract attorney time sheets, as needed
  • Monitoring diary submissions of legal assistants
  • Collaborating with regional recruiting consortia and college campuses to recruit legal assistants, as needed
  • Screening, interviewing, hiring, and onboarding new legal assistants
  • Designing seminars and training programs for legal assistants in an effort to maintain and develop legal assistants’ skills
  • Educating new associates/associates on the utilization of legal assistants
  • Identifying and recommending technology enhancements for the work product of legal assistants
  • Participating in the evaluation process and goal-setting for legal assistants
  • Making recommendations to the Director of Legal Assistants for employment and compensation actions

QUALIFICATIONS:

  • Bachelor’s degree and 3-5 years of experience as a legal assistant and legal assistant manager
  • Proficiency in Microsoft Word, Excel, and PowerPoint as well as in other tools
  • Experience preparing and managing budgets
  • Experience with compensation analysis and setting compensation
  • Experience interviewing candidates
  • Administrative experience in a professional office environment
  • Excellent written and oral communication skills
  • Ability to handle fluid priorities on a regular basis
  • Ability to interact with a variety of personalities
  • Ability to be proactive and delegate
  • Ability to present in front of large audiences
  • Ability to troubleshoot and resolve conflicts
  • Ability to stay calm under pressure when juggling multiple tasks and meet all stated deadlines
  • Experience in drafting training materials
  • Maintaining strong ethical standards
