The Sales Director Assistant supports our Sales VPs and Directors with all daily, weekly and monthly responsibilities including segment reporting. This role also offers a high level of executive assistant support dealing with managing the Sales Leaders' day. Create, implement and improve processes and reporting within the department. Key Areas of Responsibility | Assists sales leadership team with all administrative projects | Schedule and coordinate meetings and manage leadership's e-mail voicemail messages | Assist with EC and QBR PowerPoint Presentations | Set up WebEx/Teleconferencing and coordinate meetings for VP and Directors (ie location, set-up, order food, printouts, etc.) | Perform web research for presentation information | Plan all aspects of leadership travel | Manage leadership team's calendar and scheduling, including all internal and external meetings | Create/Submit expense reports for VP and Directors | Approve/Deny expense reports on behalf of VP & Directors | Review/Process E-Procurement requests | Draft, prepare and proofread letters, memos, reports, spreadsheets, charts and presentations | Event coordination (ie Sales Kick-offs, Sales & Customer Advisory Boards, team events, etc.) | Review corporate credit card charges made by VP, Director, and Manager. | Create, run and manage reports for Segment/Region at the VP/Director level. | Maintain Daily Sales Board. | Ensures routine administrative functions are properly coordinated and submitted in a timely fashion. | Handles confidential and critical information. | Acts as executive assistant and welcome incoming visitors for VP and Directors | Compile and distribute reoccurring reports for assigned VP and Directors | Work on special reporting projects assigned by the VP and Directors | Identify key sales reporting for assigned VP and Directors | Update Account Coding Strings as needed | Compile Quarterly Business Review (QBR) reports for VP and Directors | Compile Territory Plans / Mid-Year Review Reports for VP and Directors | Maintain and submit Sales Teams' weekly forecast | Develop collaborative relationships across CDW | Process Requisitions and new hire needs | Maintain sales team organizational charts | Special projects and additional duties as assigned to support specific initiatives | Order Business Cards | Manage invitations, tracking and distribution of tickets for events lead by the VP or Directors | Assist in changes with Region Hierarchies | Submit events via SEPS portal | Manage relationships with Vendor Partners, Customer Advisory Boards or Sales Advisory Boards | Assist in Team/Department Projects (Sales Support/Operations) Prioritize and execute on Ad-Hoc reporting requests as they come in from VP or Directors Collaborate with Sales Analytics and Sales Support leadership to ensure reporting systems are producing accurate data | Work with Sales Support leadership to identify and produce automated reports for sales teams The information in this position description is intended to convey information about the key responsibilities and requirements of the position. Qualifications Minimum Qualifications: High School degree or equivalent 2 years experience in one or more of the following capacities: Sales, Sales Support, Customer Service or executive assistant Advanced level Excel experience such as pivot tables and v-look ups (will be tested) Other required qualifications: Demonstrated ability to take initiative and work independently with little direction History of maintaining confidentiality in working with private and sensitive information Intermediate to advanced level experience with Excel (eg v-lookup and pivot tables) Proficient with PC Skills including Microsoft Word, Power Point and Outlook Demonstrate independent motivation, drive and initiative to enhance company and department goals Be a team player and a focal point for procedural coordination within the office while offering support to the sales and sales operations organization Must be adaptable, dependable, and work well with others Possess exceptional oral and written communications skills and the ability to deal effectively with a variety of individuals Demonstrate solid attention to detail and a penchant for accuracy Must be flexible and maintain a positive attitude and the capacity for discretion and confidentiality Ability to multi-task, organize and problem solve Ability to balance multiple priorities simultaneously and adapt to the changing needs of the business while meeting deadlines Flexibility, adaptability and an optimistic view of projects and work environment Must be able to remain in a stationary position 50% of the time Preferred Qualifications Bachelor's Degree
