Responsibilities

This position is located within the United States Capitol Police (USCP) complex and the incumbent serves at the Division level within a Bureau or an Office. The purpose of this position is to perform a broad range of technical and administrative office support work and services to support sworn and civilian staff. The work involves financial, human resources, support services, automation/computer support, records maintenance, purchasing, report/information consolidation and similar functions. Additionally, the incumbent will perform a range of support operational activities including monitoring and analyzing workflow issues and projects in consultation with supervisors and/or senior officials.

At the full performance level of CP-06/GS-08, the duties include:

Prepares, maintains, and certifies automated Time and Attendance reports and monitors leave balances using the WorkBrain system. Uses a variety of Access databases to accomplish overtime reports as well as to enter and log out documents to various offices.

Provides assistance and/or information to officials and officers with overtime requests, leave requests, FMLA applications, pay certification, payroll corrections, workers' compensation paperwork, requests for advance leave, and similar services as requested. Serves as the organization's liaison for office support services.

Organizes and maintains office files, records, manuals and related materials in accordance with established policies and procedures. Plans and coordinates extensive office support services for specialized or unique program or office needs. Responds to inquiries and requests for assistance on administrative problems. Maintains procurement files and databases in accordance with Federal regulations and agency directives.

Establishes control records on incoming correspondence and action documents, following up on work in progress to ensure timely action. Reads incoming correspondence, publications, regulations, court notifications and subpoenas, and directives that may affect the organization and assigned officers. Reviews documents requiring coordination by the supervisor for conformance with regulations, grammar, format, and special policies of the organization.

  • Successful completion of a Background Investigation is required. Clearance will depend on the Office or Bureau to which the position is assigned.

Qualifications

In order to qualify, you must meet the education and/or experience requirements described below.

Applicants qualifying for the CP-04/GS-06 grade level must have one (1) year of specialized experience equivalent to the next lower grade level (CP-03/GS-05), which has equipped you with the particular competencies needed to successfully perform the duties of the position described above. Specialized experience for this grade level is defined as: receiving and processing documents and data/statistical information in accordance with established procedures; reviewing documents and reports for completeness and entering information into an automated tracking system; researching information from various sources and communicating results to Specialists; or similar administrative experience.

Applicants qualifying for the CP-05/ GS-07 level must have one (1) year of specialized experience equivalent to the next lower grade (CP-04/ GS-06), which has equipped you with the particular competencies needed to successfully perform the duties of the position described above. Specialized experience for this grade level includes experience described at the CP-4 level AND experience assisting in the development and/or implementation of clerical or administrative processes for application within a unit or subdivision; selecting, evaluating and arranging information from files and other sources for use by others in completing larger reports and projects; or similar administrative experience.

Applicants qualifying for the CP-06/ GS-08 level must have one (1) year of specialized experience equivalent to the next lower grade (CP-05/ GS-07), which has equipped you with the particular competencies needed to successfully perform the duties of the position described above. Specialized experience for this grade level includes experience described at the CP-5 level AND experience developing and implementing administrative procedures and general policies for application within a division or bureau; analyzing and interpreting information related to administrative functions; completing basic financial tasks in support of the budget process; independently completing reports and projects for the organization; or similar administrative experience.
