Assistant Director, Academic Affairs - Graduate School of Arts and Sciences

Georgetown's Graduate School of Arts & Sciences , at nearly 200 years old, offers a wide variety of doctoral, master's and certificate programs encompassing both traditional and interdisciplinary studies.

The Assistant Director of Academic Affairs is one of two equivalent positions that shares responsibility for delivery of academic services provided by the Graduate School to its students and to the faculty and staff of its graduate degree programs. Reporting to the Associate Dean for Academic Affairs, the Assistant Director shares responsibility with the other Assistant Director in duties that include but are not limited to:

Records and Reporting
  • Maintains records to ensure that the academic progress of all Graduate School students is appropriately recorded and monitored, including both current and historical records (on paper and in electronic formats), and provides access to these records as required by law and University policy.
  • Works with the University Registrar to assure the accuracy of graduate student records in Banner, the central student information system.
  • Prepares reports as required for departments and for the Dean, such as monitoring student degree progress, and verifying documentation submitted in support of completion of requirements (e.g., degree award, grade changes, and examination ballots); and places and removes registration blocks.
  • Assists the Associate Dean in the preparation of prepare enrollment reports for internal and external use (e.g., financial FTE reports of graduate enrollment each semester and the annual CGS/GRE graduate enrollment survey).
  • Works with graduate programs to codify and maintain their degree requirements in the Degree Works segment of the Banner student information system to support faculty advising function and student self-service advising, as well as degree clearance.


Advising
  • Advises faculty and staff on Graduate School and University academic policies and procedures; and implements and enforces these policies, including those concerning registration, degree program requirements, leaves of absence and return from leave, and grade changes.


Graduation
  • Coordinates preparations for the annual Commencement Ceremony, including preparing the Commencement program, posting of final grades and student degree clearance, determining which faculty members will participate in the ceremony and the roles that they will play, assembling and distributing diploma packets, assembling students to form the academic procession, and coordinating support staff during the ceremony.


Administration
  • Supervises student workers assigned to work in the area and coordinates with the supervisor of the Admissions staff in the use of student help during peak work periods (e.g., the Spring admissions cycle and May Commencement).
  • Serves on University committees related to academic affairs and student services for graduate students.


Qualifications
  • Bachelor's degree
  • 2+ years of experience working in an academic institution, preferably with enrolled students
  • Strong written and verbal communication skills
  • Ability to manage multiple projects simultaneously, to meet time-sensitive deadlines, and to set priorities
  • Ability to work well under pressure and function as a team player
  • Database and spreadsheet experience
  • Familiarity with student information systems


Preferred qualifications
  • Graduate degree (completed or in progress)
