Responsibilities

  • Serves as personal and confidential assistant to the Director, Acquisition Management (J-7) who is also the Component Activities Executive (CAE).
  • Serves as administrative support coordinator for the Director's office, developing administrative support techniques/methods for integrating new/revised practices and procedures.
  • Ensures new administrative policies and procedures are communicated and implemented by staff of subordinate offices, and that they are appropriate for changing needs of the Director's office, and meets the requirements of administrative regulations.
  • Responds to inquiries and administrative problems brought to the Director by members of the staff and field, commanders, other Federal agencies and Congressional staff.
  • Arranges conferences and meetings for the Director including notifying participants, preparing agenda, and handling related matters.
  • Keeps the Director apprised of forthcoming/events, status and progress of special studies and assignments in . which he is interested.
  • Participates in preparation, review and editing of drafts of introductions and talking papers to be presented at various meetings.
  • Coordinates travel plans, ensuring no conflict with local, high, priority commitments. Prepares travel vouchers, ensuring compliances with current governing regulations.
  • Exercises exclusive control over scheduling of the Director's appointments, with complete authority for commitments on time. Acts as focal point/coordinator in scheduling all calendar items requested involving the Director.

Qualifications

To qualify for a Secretary (Office Automation), your resume and supporting documentation must support:

Specialized Experience: One year of specialized experience that equipped you with the particular knowledge, skills and abilities (KSAs) or competencies to successfully perform the duties of the position, and is directly in or related to this position. To qualify at the GS-10 level, applicants must possess one year of specialized experience equivalent to the GS-09 level or equivalent under other pay systems in the Federal service, military or private sector. Applicants must meet eligibility requirements including time-in-grade (General Schedule (GS) positions only), time-after-competitive appointment, minimum qualifications, and any other regulatory requirements by the cut-off/closing date of the announcement. Creditable specialized experience includes:Thorough knowledge of the organization, the Department of Defense and its Military Services with whom the Defense Logistics Agency deals in the conduct of its mission and programs. Experience maintaining executives' calendars and creating appointments while ensuring there are no conflicting commitments. Experience reviewing outgoing correspondence for completeness, correctness, consistency, and grammatical accuracy.

Typing Requirements: Must be able to type at least 40 words per minute.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community, student, social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Education

Substitution of education may not be used in lieu of specialized experience for this grade level.

As a general rule, education is not creditable above GS-5 for most positions covered by this standard; however, graduate education may be credited in those few instances where the graduate education is directly related to the work of the position.
