Summary

The U.S. Department of Commerce Office of the General Counsel (OGC) is seeking Administrative Specialists in the Office of the Chief Counsel for International Commerce (OCC/IC). OCC/IC provides legal support to the Department's International Trade Administration (ITA) in support of ITA's mission to promote international trade, open foreign markets, ensure compliance with international trade agreements, promote investment in the U.S., and support U.S. commercial interests abroad.

Responsibilities

Duties include, but are not limited to:
  • Performs administrative assistant duties, including receiving and routing calls and visitors; maintaining calendars; scheduling appointments; arranging meetings and conference calls; using e-mail and electronic calendaring systems; arranging and preparing travel orders and vouchers. Providing human resources support as assigned, including preparing recruit packages to fill staff vacancies and serving as the Intern coordinator for OCC.
  • Maintains correspondence control systems, logs and tracking systems of all correspondence received. Preparing weekly reports and reviewing incoming correspondence and action documents, assuring proper handling in accordance with Office and Department procedures, and advising on matters that require expeditious handling.
  • Preparing legal correspondence, charts, tables, reports and slides using various software packages, including MS Word, Excel, and PowerPoint as well as SharePoint to track all forms of correspondence, actions, logs and organizing and coordinating filing needs.
  • Researches and obtains information for required actions through available tools such as automated databases, historical files, and review of previous or current studies/projects on related topics. Under the direction of the supervisor and knowledge of functional assignment and areas of expertise, assigning actions, with annotation on any applicable background material, to the appropriate office. Assisting and advising staff on all procedural and administrative aspects of action items and identifying and recommending to Office management ways to improve the procedural and administrative aspects.

Qualifications

To qualify at the GS-09 level: You must possess one year (52 weeks) of specialized experience at a level of difficulty and responsibility equivalent to the GS-07 level that has equipped you with the necessary knowledge, skills and abilities to perform successfully the duties of the position. For this position, specialized experience is defined as:

Specialized experience is defined as experience performing administrative support functions in a fast paced office handling a heavy volume of electronic mail and demonstrated ability to prioritize and anticipate the needs of the office while at the same time consistently maintaining a strong customer service focus. Performs basic preparation of legal documents for research, arranges domestic and foreign travel, processes travel vouchers and authorization; experience with FOIA document processing.

Education: A Master's degree or 2 full years of progressively higher level graduate education leading to such a degree or J.D., if related.

OR

Combination of Education and Experience: Possess a combination of education and experience which is qualifying to meet total qualification requirements for the GS-09 grade level. The total percentages must equal at least 100 percent to qualify.

To qualify at the GS-11 level: You must possess one year (52 weeks) of specialized experience at a level of difficulty and responsibility equivalent to the GS-09 level that has equipped you with the necessary knowledge, skills and abilities to perform successfully the duties of the position. For this position, specialized experience is defined as:

Specialized experience is defined as experience performing administrative support functions in a fast-paced office handling management of website, electronic mail, preparing weekly reports, arranging domestic and foreign travel and processing travel vouchers and authorization; experience with FOIA document processing.

OR

Education: A Ph.D. or equivalent doctoral degree or 3 full years of progressively higher level graduate education leading to such a degree or LL.M., if related.

OR

Combination of Education and Experience: Possess a combination of education and experience which is qualifying to meet total qualification requirements for the GS-11 grade level.

    You will be evaluated for this job based on how well you meet the qualifications above.
