The Kennedy Center, which opened on September 8, 1971, is located on 17 acres overlooking the Potomac River in Washington, D.C. The Center continues its efforts to fulfill President Kennedy's vision by producing and presenting an unmatched variety of theater and musicals, dance and ballet, orchestral, chamber, jazz, popular, world, and folk music, and multimedia performances for all ages.

Founded in 1956, the Washington National Opera ("WNO") has been an artistic affiliate of The Kennedy Center since 1956. WNO has a storied legacy of more than 100 new productions, plus world premieres, international tours, live recordings and radio broadcasts, as well as innovative education and community-engagement programs.

Job Description:

The Artistic Operations Coordinator is responsible for generating, tracking, and processing Washington National Opera contracts and payments to all AGMA artists, including Principal Artists, Directors, Chorus, and Corps Dancers, and Production Staff, as well as non-AGMA personnel including Designers, Composers, Librettists, Publishers, American Opera Initiative personnel, and Children's Chorus. The Artistic Operations Coordinator provides information to artists with respect to tax treaty benefits and required tax forms related to artist income and tax reporting.

Duties and Responsibilities:

40% Generates and processes all Washington National Opera AGMA and United Scenic Artist artistic and production team contracts and incoming/outgoing production rental and co-production contracts. Includes but is not limited to writing all contracts, communicating with Kennedy Center Legal Counsel and Finance when necessary, distributing finalized contracts with appropriate tax information and cover letters to artists.

35% Submits for approval, all artist payments, payroll and reimbursements. Includes but is not limited to: creating requisition requests in payroll software, submitting artist payment requests, submitting housing and travel payments (including stipends and reimbursements), completing bank wiring forms and calculating foreign exchange rates, coding and submitting AGMA and USA health fund contributions and working dues and working with payroll to pay employees on a weekly basis. Distributing payments to artists and answering any questions about fees, deductions, dues, or taxes.

15% Tracks the status of contracts in appropriate databases, initiating and confirming proper contract signings, sending executed contracts to artists and AGMA and USA, and filing all contracts and contract correspondence.

5% Generates and processes contracts for special projects such as Washington National Opera commissions, as well as for music staff and other unique vendors to include: children's chorus master, dramaturg, lecturers, surtitles coordinators, and others. Working with Artistic Department Leadership, Kennedy Center Legal Counsel when necessary and artist agents to determine appropriate contract terms (including future use, broadcast rights, financial terms, deadlines, deliverables, travel allowances, housing, etc.) and creating a comprehensive contract based on those terms.

5% Provides information to artists on all tax treaty benefits and required tax forms related to their income and tax reporting. Remain informed of any pertinent tax law changes. Submit all relevant artist and department tax forms for all artists. Resend year-end tax forms to artists and agents as necessary.

N/A Responds to the needs and requests of Kennedy Center management and staff in a professional and expedient manner; Adheres to all employer policies and procedures; Other duties as assigned.

Key Qualifications:
  • 3+ years' experience in an administrative or artist services department.
  • Bachelor's degree and an interest in/knowledge of opera, music, or the performing arts.
  • Familiarity of working with contracts strongly encouraged
  • Knowledge of a foreign language, especially Italian, French, German or Spanish encouraged.

Physical Demands

While performing the duties of this job, the employee is regularly required to communicate in person and on the telephone. The employee is frequently required to use hands in order to operate computer keyboard, office equipment, and other essential tasks. The employee is frequently required to sit, stand, walk, bend, stoop, crouch, and reach with hands and arms. This position infrequently lifts, carries, or otherwise moves and positions objects weighing up to 25 pounds.

Work Environment

The noise level in the work environment is low.

Travel is not required for this position.
