Requirements

The Program Manager assists in the daily administrative functions of the Georgetown Clinical Research Unit (CRU). S/he is the designated Research Match liaison at Georgetown University and serves as the GU Project Lead for the Research Participant Recruitment Unit (RPRU) module of the Georgetown-Howard Universities Center for Clinical and Translational Science (GHUCCTS). Reporting to the Nurse Manager of the Unit, the Program Manager has additional duties that include but are not limited to:

Financial Management
  • Develops and maintains financial reports to track the CRU's income and expenses, presenting monthly to the CRU Administrative Team.
  • Oversees GMS financial processes including but not limited to; creating and submitting purchase requisition, employee reimbursement, miscellaneous payment and spend authorization; invoice processing including preparing receipts in GMS and contacting accounts payable; and tracking and reconciliation of financial activities.
  • Manages the protocol budget process which includes creating/revising budgets for new/amended protocol, and developing protocol cost estimates.
  • Performs monthly financial reviews of accounts which includes reviewing payroll and non-payroll activities, and resolving discrepancies by submitting journals as necessary (such as the PAA journal).
  • Manages the billing activities of CRU services which includes maintaining billing spreadsheets, creating and disseminating invoices, and ensuring supporting documentation are in the Box folders.
  • Collaborates with GHUCCTS admin to conduct grant related financial processes, and with the Nurse Manager to develop budgets for each grant and fiscal year.


SEPCOM Oversight
  • Assists in processing applications and communication with investigators for the smooth operation of SEPCOM for PCIR.
  • Aides in scheduling meetings, the determination of review types, assigning reviewers, and uploading documents to respective Box and SharePoint folders.
  • Ensures accurate protocol data entry in WebCAMP and facilitates SEPCOM meetings, records meeting minutes and actions, completes and delivers SEPCOM letters, and manages storage of records.
  • Establishes monthly meetings, sends calendar events to members, and manages yearly membership renewals.
  • Leads the Redcap SEPCOM application project including piloting and editing as necessary until ready to be launched.
  • Appropriately tracks and manages SEPCOM data in collaboration with the other GHUCCTS institutions.
  • Updates or develops standard operating procedures related to these functions as needed.


Tracking and Evaluation
  • Builds strong working relationships with the Tracking and Evaluation Informatics core of the CTSA.
  • Collects, records, and manages data associated with the PCIR metrics used for grant reporting.
  • Maintains accurate data entry used for grant reporting (collected from WebCAMP, SharePoint, Investigators, and other institutional departments).
  • Quickly adapts to changes of data required based on the needs of the Steering Committee and the PCIR CLG.
  • Works in partnership with staff from collaborating CTSA institutions such as Howard University, MedStar Health Research Institute, Veteran's Affairs, and NRH to ensure accurate and ongoing data collection.


Outreach Oversight
  • Facilitates the cross-CRU utilization of services, resources, and participants in coordination with CE, resulting in studies being initiated at appropriate CRUs with the capability of reaching and enrolling the largest number of interested participants.
  • Promotes the utilization of CRU resources to investigators and provides them with cost estimates.
  • Assists parties in finding appropriate resources within GHUCCTS, and assists investigators in approval for ResearchMatch use, actively recruiting both PIs and participants to use the ResearchMatch service.
  • Oversees the development, analysis, and reporting of questionnaires used to ensure the CRU/PCIR services meet the needs of the GHUCCTS community.
  • Manages requests for CRU services, assists investigators to gain access to GHUCCTS services, and tracks and evaluates metrics for all GHUCCTS CRUs.


Research Participants Recruitment Unit Management
  • Collaborates to enhance the current core engaged in recruitment of research participants.
  • Maintains active involvement in educating community and investigator stakeholders regarding GHUCCTS resources and activities.
  • Collaborates with investigators and study coordinators in deriving recruitment strategies for study recruitment in the community.
  • Works with the other partner coordinator in establishing best practices for cohort discovery and recruitment of participants for GHUCCTS multicenter trials and other network studies.


General Administrative Functions
  • Assists with management of the CRU and GHUCCTS website.
  • Trains and provides resources necessary to the Unit Secretary.
  • Files and organizes correspondence and departmental records as appropriate.
  • Performs regular inventories of office and lab supplies.
  • Assists the Nurse Manager in administrative functions necessary for CRU operations or with any special projects assigned.


Qualifications
  • Bachelor's Degree
  • Minimum of 2-3 years of experience in an academic and/or research setting
  • Proficiency in Microsoft Office, including Word, Excel and PowerPoint
  • Detail orientation and a commitment to outstanding customer service are essential
  • Excellent interpersonal skills, verbal, and written communication skills are essential
  • Ability to prioritize and perform multiple tasks simultaneously with little supervision
