Requirements

The Student and Communications Assistant provide s clerica l , adm in ist r at i ve, com putin g , and tech nica l support to the Administrative Di rector and play s a s uppor t ive rol e for a ll functions in t h e Ce nt e r for T r ansnatio nal L ega l Studi es . S/he provides fron tlin e s upp ort to the Center's s tudent body and s up ports the Admini s trative Di rector in monitoring and editing th e web si t e. Reporting di r ectly to the Administrative Director and p l aying a crucial role in s upporting the Center students, facu l ty and sta ff with admi n ist r ative f un ctions, the incumbent has additional duties that include but are not limited to:

General Administration / Frontline Support
  • Ensures that routine questions are answered and dealt with immediately to provide prompt and courteous service.
  • Provides administrative support by preparing correspondence and memos, making phone calls and inquiries, and preparing documents for appointments, which involves retrieving files, transcripts and confidential information for meetings with students, staff, faculty, and administrators.
  • Assists the Administrative Director in providing prompt assistance and completes information to student and faculty inquiries about academic programs, faculty information, and policies.
  • Ensures a timely and accurate delivery of the written responses to the proper individual .
  • Generates and mails letters, distributes materials to faculty, students and administrators, and creates and posts notices on the student bulletin board at the Center, making copies and completing filing as needed.
  • Enters confidential data on Banner and maintains student records under the supervision of the Administrative Director.
  • Provides frontline support to the Center's student body and prepares the Weekly Updates.


Administrative Director Assistance
  • Functions as an assistant to the Administrative Director in his/her duties as an administrative liaison among Center faculty both in London and in other law schools around the world.
  • Responds to faculty requests and requirements, as well as telephone inquiries.
  • Revises correspondence and informational materials, assists with mass mailings, and creates mailing lists and rosters as needed.
  • Responds to questions concerning all aspects of services offered by the Center, requiring extensive knowledge and a detailed understanding of administrative regulations, academic policies, and office operational procedures, and the ability to interpret and analyze the foregoing.
  • Ensures that all information provided is accurate and within guidelines of privacy restrictions, directing certain questions to others for resolutions when appropriate.
  • Maintains regular communications with coworkers to stay up-to-date on policy or deadline adjustments.
  • Maintains knowledge in all Center functions, including grades, transcripts, certifications and registration, and maintain knowledge on office policies and procedures.
  • A ssists with exam administration, serving as head proctor, and maintains the Fire Risk Assessment information, ensuring that it is kept up-to-date when necessary.


Web, Social Media and Newsletter
  • Maintains and updates the Center's Social Media presence (Facebook and Twitter), and drafts the Monthly Newsletter.
  • Supports the Administrative Director in monitoring and editing the website.


Event and Visit Support
  • Assists with events sponsored directly by the Center as well as special events associated with government agencies and outside organizations.
  • Assists with additional duties, include assisting with catering, event set-up, event databases, distribution of material/information for the event, facility and audio-visual requirements, and making the appropriate arrangements.
  • Other duties wi ll be assigned as determined .


Qualifications
  • Bachelor's Degree
  • Progressively responsible experience in executive office management, preferably in a higher education or customer service setting
  • Computer-literate, with advanced skills in Word, e-mail software, and PC - based database management programs, such as Microsoft Access and Exc e l , all in a Windows environment
  • Ability to work with a Mac computer and laptop
  • Advanced usage and understanding of Social Media (Facebook, Twitter, Instagram) and experience in e-newsletters and/ or web editing are an advantage
  • Excellent organizational skills, exceptional verbal and written communication skills, and the ability to work with diver se constituencies, including faculty, administrators, students, and other staff
  • Self-motivated and self- directed , with the ability to handle multiple tasks simultaneously
  • Ability to maintain the highest lev e ls of professionalism and office decorum while retaining the interpersonal skills necessary to successfully relate to other members of the Georgetown La w community
  • Attention to detail , good listening skills, and an ability to establish priorities
  • Ability to maintain the confidentiality of sensitive information
  • Because of the cyclical nature of the Center's academic schedule, the ability to work extended hour s (including some weekend time) seve ral times each semester
