Secretary III:
The Administrative Assistant provides professional secretarial support to the Emergency Department Director, including:
• Timekeeper administrator for ED, using software such as KRONOS, word processing and spreadsheets.
• Place weekly special orders, prepare inventory reports and highlighted low stock of medical supplies for the Emergency Department.
• Navigate WORKDAY Adventist Healthcare
• Order special Medical Supplies and process.
• Order, stock, and distribute Office Supplies in the ED. Coordinate maintenance of office equipment and Medical Supplies using Workday system.
• Arrange, coordinate meetings and events. Schedule conferences and meetings, and in-services without prior approval.
• Help to prepare schedules for staffing (RN's, Tech's and USC) and keep updates, using KRONOS Scheduler planner and Excel.
• Time Attendance editing.
• Track employee licenses and certification (BLS, ACLS, PALS).
• Prepare Expense Reports. Reimbursement process.
• Prepare photocopies, facsimiles, scanning, and filing. Modify documents, drafts, emails, and forms.
• Prepare, open, sort, and distribute incoming correspondence.
• Compose and send letters (regular and certified mails) for Positives Blood Cultures Patients and tracking information.
• Experience in dealing with persons of other cultures. Working with the Immigrant Community.
• Interaction with patients to be an interpreter for Spanish speaking.
• Preparing Thank You Cards and mail them to the Patients.
• Resolving informal complaints.

Work Schedule:

Office hours Monday-Friday 8:00am to 4:30pm.

Qualified candidates will possess:
• High School diploma or GED required with an Associate's Degree in secretarial studies or equivalent preferred.
• Three to five years of secretarial/medical secretarial experience in a hospital setting.
• Proficient in PC skills such as Outlook, Microsoft Word, Excel and PowerPoint as well as KRONOS.
• Excellent verbal and written communication skills.
• Excellent typing skills, public relation skills and evidence of good judgment required.
