Requirements

The Assistant Director of Special Events assists in all aspects of planning, design, and execution of high-profile events at the Georgetown Law Center . Specifically, the incumbent will lead large Dean-level events with high profile participants and multi-pronged components, including but not limited to Orientation, Reunion, faculty installations, annual lectures, and Commencement. This position also regularly engages with many internal constitu e nt s , including facu lty m e mb e r s, facilities, AV, public safety, catering, faculty s uppo rt, the D ea n' s office, and ot h e r Law C e nt e r staff. Reporting directly to the Dir ecto r of S p ecia l Events, the Assistant Director of Special Events has additional duties that include but are not limited to:

Event Planning and Design
  • Pl a ns high profile, high complexity events for the Law Center, producing the overall event design.
  • Takes the lead on logistics planning and event timeline with event host(s) and involves other members of the special eve nt s team as needed.
  • Provides all levels of support for events, including reserving space, creating invi tations, coordinating seating charts, and providing event materials.
  • Coordinates internal and external constituencies such as event companies, caterers, facilities, AV, scheduling, and the Dean's Office.
  • Manages vendor hiring, on-site sta ff ing , guest lists, and RSVP's.
  • Coordinates with VIP's which may include heads of state, supreme court justices, members of congress, distinguished alumni, judges, and law faculty.


Media
  • Develops and/or prints marketing and promotional materials.
  • Creates name tags, tent cards, place cards, and escort cards.
  • Uses branding to create other collateral event materials and signage.
  • Posts signage in various locations and provides information electronically to stakeholders.
  • Sends detailed materials to departments, groups, firms, and others surrounding event logistics, design , and p lan.
  • Coordinates with the communications team on internal and external communications plans.
  • Oversees drafting communicatio n s plans and deploying them within the community when needed.


Administration
  • Maintains event files.
  • Ensures contracts are complete and organized.
  • Tracks budgets and vendor information.
  • Finalizes timelines, drafts and gathers staffing documents and receipts, and completes event summaries.


Qualifications
  • Bachelor's Degree
  • Minimum of 5 year's event planning experience, preferably within an academic or non-profit setting, and with increasingly more responsibility and large, more complex events
  • Proven ability to balan ce multiple p rio ri t ie s a n d work independently
  • St rong written and verbal communication sk ill s, sound jud geme nt, and the ability to b e discreet and prioritize competing d e mand s
  • Strong computer skills , including Microsoft Offi c e
  • Workin g knowledge of Socia l Tables, EMS, and other event specific soft w a r e is a p lu s
