The University Scheduler is a member of the Conference & Event Services (CES) team within the Office of Auxiliary Services. The University Scheduler manages all facility reservations for University and non-University requests. This position will be the functional administrator for the University’s scheduling software and will oversee the University’s scheduling process and procedures. The University scheduler will ensure superior campus-wide customer service, timely and professional communication of reservation process.

Responsibilities: Scheduling & Process Management (40% of Time) - Oversees the University scheduling process for all meeting/conference/event requests. Develops, updates, maintains scheduling guidelines and reservations.
• Manages all facility reservations for University & non-University requests. Ensures proper approvals/denials are generated. Assists the Associate Directors with revenue and operation planning through maintenance, and/or repair projects to ensure the meeting spaces are well maintained and available. Works closely with appropriate faculty, staff, students in scheduling, and implementing workflow in order to provide quality assurance and excellent levels of communication. Trains appropriate faculty/staff/student organization on scheduling process and software. Maintains updated space inventory for all campus space including conference/event resource inventory for streamlined scheduling process. Works closely with Office of the Registrar and Campus Life to ensure scheduling needs are met. Prepares daily/weekly reports to campus as needed. Maintains backup scheduling system. Software Administration (30% of Time) - Serves as functional administrator for the University’s scheduling software. Works closely with IT to ensure optimal software operation. Oversees the training and effective utilization scheduling software across campus to ensure information is in all systems is accurate up-to-date, and audit compliant. Works with scheduling software company to address any issues; ensures timely updates and accurate information is in the system. Periodically audits the system to ensure accurate information. Trains appropriate faculty/staff/students on scheduling process in software.  Space Utilization & Inventory Management (20% of Time)- Assists the Associate Directors by generating space use reports; provides recommendation to maximize space use. Provides recommendations on best practices for space scheduling.  Works with campus partners such as Facilities and IT to ensure accurate invention is maintained.  University-Wide Event Support (10% of Time)- Participates in University-Wide event planning and execution. Works closely to ensure streamlined communication regarding University event planning and CES operations. Performs related duties as required.

Qualifications: Bachelor’s degree required or equivalent in education, training and/or experience and two (2) years of experience in event planning, conferences/event operations, scheduling, or higher education administration required.  Computer experience, particularly in database and spreadsheet applications, required. Must be able to prioritize, balance, and complete multiple tasks with direct but minimal supervision. Knowledge of Ad Astra or the like scheduling software, MS Word and Excel. Ability to analyze complex entities and resolve conflicts in a timely manner. Must have good analytical, organizational, interpersonal and communication skills. Ability to multi-task.

Condition of Employment:  Evening and weekend work required as needed.

SALARY:  $38,204 - $50,000                                                 RANGE:  10
