Position Summary:The Communications Specialist and Executive Assistant will provide communications and administrative support to Jubilee Association of Maryland's Executive Director. Strong writing, good judgment, empathy, and attentiveness to detail are central to this role. The person in this position will draft communications for the Executive Director for articles, social media, email, letters, and other correspondence. Regular duties will also include administrative support for activities of Jubilee's Directors Team and Boards of Directors (Association and Foundation), logistical support for the Executive Director's meetings, and interacting with staff, clients, families, supporters, and other constituents on matters related to the Executive Director's work. Responsibilities:Draft and/or proof communications on behalf of the Executive Director for articles, social media, email, letters, and other correspondence. Writing should be attentive to the audience and in tune with Jubilee's core values, human narrative, and strategic direction.Contribute to Jubilee's communications and development strategy in collaboration with the communications and development team.Coordinate logistics for Executive Director's meetings with constituents, including staff, clients, supporters, board members, and state and county officials. Develop or organize meeting materials and keep track of next steps as appropriate.Use donor database in collaboration with communications and development team to pull reports and update records related to Executive Director's contacts with donors and other constituents.Support the activities of the Jubilee Association of Maryland Board of Directors and the Jubilee Foundation Board of Directors. Duties include preparation and distribution of materials, managing communications with board members, managing meeting schedules and logistics, taking minutes, tracking and ensuring implementation of action items, and maintaining governance files.Collaborate with Executive Director in managing his email inbox, calendar, social media, and to-do list.Create and maintain systems and procedures to ensure effective implementation of the Executive Director's initiatives.Anticipate and proactively suggest ways to enhance efficiency or quality of work and implement when appropriate.Be a team player across the organization, assisting others with large meetings, major projects or occasional backup during absences.Other duties as assigned.QualificationsAssociate's degree required, Bachelor's degree preferred.Minimum of 2 years of professional experience in communications, fundraising, and/or office administration.Advanced reasoning abilities and good judgment.Advanced written and verbal communication and interpersonal skills. People-first language and thinking is essential.Excellent organizational skills and attention to detail to effectively manage schedules, filing systems, events and meetings, documents, priority and project lists.Very strong technology skills to effectively use Outlook, Word, PowerPoint, Excel, Acrobat, social media platforms, and video conferencing/presentation equipment. Ability to learn fundraising software.Desire to work with and learn from people who have intellectual disabilities required.Familiarity with the life and writings of Jean Vanier preferred.About Jubilee: Jubilee Association of Maryland is a faith-based nonprofit that provides opportunities and support for adults with intellectual and other developmental disabilities to live in and enrich their community while fulfilling their personal, family, social, and spiritual needs.
