The Emmes Company, LLC is searching for an Administrative Coordinator located in our Rockville, Maryland office. Emmes has offices located at the below locations and throughout the greater Washington, DC area with flexibility for office location preference, dependent upon position.

Primary Purpose

Emmes is seeking an Administrative Coordinator to assist with administrative support for numerous clinical trials in the Vaccine and Infectious Diseases Division. General support activities include (and are not limited to) producing and managing study documentation, organizing project conference calls and meetings, maintaining website content, database content, coordinating project communications, and assisting with the development of project processes.

  • Support one or more internal teams in vaccine/infectious disease research
  • Assist with setting and meeting project deadlines in collaboration with the lead administrative coordinator, team members, and project leadership
  • Facilitate communications and deliverables with internal and external clients
  • Edit, format, and distribute technical reports, manuals, and presentations
  • Prepare written materials for client meetings
  • Participate in establishing and maintaining project and corporate procedures and processes
  • Manage electronic project files and archives
  • Organize and coordinate client conference calls and meetings
  • Maintain client website content for study and training materials
  • Assist with the development, implementation, coordination and monitoring of administrative functions essential to the project
  • Compose routine and non-technical documents
  • Working collaboratively with both project and functional group teams

  • 2-4 years of related experience with a Bachelor's degree (preferred) or equivalent experience
  • High level of organization and ability to manage competing priorities; attention to detail
  • Consistency in meeting deadlines, often with tight turnarounds
  • Intermediate to advanced skills in Microsoft Office Suite products and Portable Document Format software products
  • Priority will be given to applicants who also have some of the following additional skills: experience with updating websites, eCTD formatting, and working with web/video conferencing applications
