Job Summary: Responsible for planning, coordinating, and managing all volunteer activities and programs for the organization. Responsible for recruitment, education of and scheduling of volunteers. Responsible for implementation of all elements of the Volunteer Program including but not limited to, Recruitment of a broad range of volunteers that can fulfill multiple assignments; seeing to it that all the levels of training are carried out; supervision of volunteers incorporating guidance, support, direction and accountability; ongoing documentation to and maintenance of the information system; processing and making assignments in response to requests for volunteer requests; cooperating with staff at all levels in the agency. Duties and Responsibilities: Responsible for programmatic oversight and integrity of the Volunteer Program and provides day to day oversight. Responsible for planning, coordinating and managing all volunteer program activities in the organization, including patient care, administrative and community outreach volunteers. Participates actively in the ongoing evaluation and growth of the Volunteer program. Ensures volunteer administrative and/or direct patient service hours minimally reflect 5% of total patient care hours of all hospice paid employees. Serves as administrator of Volgistics Database. Responsible for and develops an annual plan for volunteer recruitment and activities to meet the recruitment goals established in conjunction with the Executive Director. Ensure appropriate placement and supervision of the volunteers seeking input for the patient and family in planning for volunteer support. Ensures compliance with all required background checks and other regulatory requirements. Follows up with new volunteers to ensure appropriate role and understanding of position. Spends minimally 10% of time supervising volunteers. Develops and conducts Volunteer orientation and training programs on a regular basis. Duties include development of an annual schedule, create agendas, review training materials and speakers for delivery of effective curriculum and a positive learning experience, according to regulations. Implements volunteer in-services to meet regulatory requirements, maintain skills of volunteers, and provide meaningful end-of-life education. Actively participates in and provides in-services and training. Completes both 90 day and annual evaluations of volunteers and assesses for competency and appropriate positions for volunteers. Solicits input from other departmental leaders related to competency of volunteers as applicable. Visits patient/families, as appropriate, to interpret the role of the volunteer, to assess needs, and to offer volunteer support services. Ensures Volunteer Files are up to date and compliant with regulatory components. Coordinates volunteer support services to hospice clients. Works closely with the various departments (Clinical, Hospice House Director, Bereavement, Pathways, Office Manager, etc) to meet the volunteer needs of these programs. Arranges and schedules volunteer visits, oversees End-of-Life Doula Program. Responsible for coordinating Volunteer activities related to The We Honor Veterans Program (pinnings, etc). Plans and arranges volunteer appreciation events. Maintains a high volunteer retention rate by nurturing relationships with volunteers. Manage related expenditures in a fiscally responsible manner in accordance with the agency's budget. Maintain monthly statistics. Produces reports as requested, including data for the annual state survey, Annual Report, and quarterly statistics. Ensures proper data and statistics are maintained in volunteer software program. Ensures compliance of volunteer services program. Responsible for volunteer documentation, including patient care records, training hours. Oversees and maintains volunteer files and ensure compliance with regulatory requirements and organizational protocols. Responsible for the development of volunteer policies and procedures and regulatory requirements. Actively participate in quality management program. Assures for compliance with local, state and federal laws, Medicare regulations, and established personnel policies and procedures. Oversees Volunteer Advisory Group and participates in other meetings, QAPI initiatives. Acknowledge volunteer efforts and provides support, encouragement, and ongoing communication through various media (calls, e-mails, note cards). Uses volunteer surveys as a quality assurance tool to respond to suggestions to improve volunteer satisfaction and the Foundation's services. Submits a written action plan to the Executive Director. Requirements: Bachelor's Degree, or degree in human services preferred. Clinical licenses will be considered. Minimum of two years' experience in a health care setting preferred, or hospice and/or volunteer experience. Prior leadership roles preferred. Ability to supervise, coordinate and evaluate volunteer services. Excellent organizational skills and experience in record-keeping and documentation of activities Proficiency in Microsoft Office, Outlook, and Word, and willingness and ability to learn new software Excellent and grammatically correct writing, speaking, and presentation skills Flexibility to be available for evening or weekend public speaking opportunities and events Maintain high level of urgency, customer consciousness and service excellence PHYSICAL DEMANDS NEVER OCCASIONALLY FREQUENTLY CONTINUOUSLY Up to 10 lbs.
