Integrated Communications and Marketing (ICM) is a multimedia, service-focused communications and marketing operation that leads in shaping the impression of AARP by providing communications planning, marketing, support and execution for AARP's strategic business units.

Summary

Reporting to the Brand Operations Director, the Brand Traffic Coordinator is responsible for reviewing, scheduling, assigning and trafficking creative and paid advertising requests for the organization, to ensure they include all relevant content and assets and are delivered in a timely manner. Position works closely with Creative Services team to manage design resources and assignments for a high volume of projects supporting national campaigns and events as well as local initiatives for AARP's state offices.

Responsibilities
  • Serves as the first point of contact in Brand for creative and media buy requests in support of national programs, campaigns or events, and local initiatives managed by AARP state offices.
  • Reviews and assesses projects to determine if requests are complete, timelines are appropriate, and/or additional Brand consultation is required. Troubleshoots as necessary to secure additional information, provide recommendations or guidance, refer to Brand colleagues for subject matter expertise, and/or negotiate timelines.
  • Partners with the Creative Services team to determine project complexity, monitor changing resource constraints/availability and schedule assignments accordingly.
  • Serves as the initial reviewer for paid advertising and sponsorship requests to confirm information is complete prior to assigning to the media buying team.
  • Assigns and tracks the flow of projects through account/client services, creative, operational and print teams to ensure the timely execution of all projects.
  • Provides superior customer support and troubleshoots any process or technical issues to ensure a positive and frictionless user experience.
  • Traffics final artwork to media outlets and confirms assets meet all final delivery specifications.
  • Identifies opportunities for process improvements to streamline the project workflow.
  • Assists customers with Brand tools including AARP's asset management system, creative catalog, and self-service creative tool.
  • Provides operational support as needed including processing insertion orders and payments with media outlets, responding to Brand Help mailbox, and other duties as assigned.


Requirements
  • Completion of a Bachelor's Degree and 3+ years of experience in a studio, agency or in-house department that supports high volume creative development.
  • Knowledge of creative production and design complexity required.
  • Traffic operations and resource management experience preferred.
  • Experience using workflow tools and troubleshooting system questions/problems
  • Ability to juggle multiple projects simultaneously and prioritize work as needed to ensure on-time delivery.
  • Strong project/time management skills, ability to work in a fast-paced environment
  • Ability to exercise independent judgment to analyze problems, assess possible solutions, and make decisions to keep projects moving
  • Outstanding oral and written communication skills; strong client service orientation
  • Proficient in Word and Excel, and ability to quickly learn internal processing/tracking systems.
  • Excellent interpersonal and diplomatic skills to work collaboratively across multiple teams and with a variety of personalities and work styles
  • Superior organizational skills and attention to detail.
