The Northern Virginia Transportation Commission seeks an office administrative assistant to be the first point of contact for our guests ranging from the general public to elected officials. Additionally, this position provides a broad range of administrative support for the organization. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude.

Position Description

The Administrative Assistant role is a combination of front desk and administrative duties and meeting support. They will be responsible for greeting all guests and supporting administrative functions within the office. The incumbent must possess excellent time management skills and be able to work independently.


  • Proven experience as front desk representative, agent or relevant position

  • Excellent verbal and written communication skills

  • Excellent knowledge of MS Office suite (Word, Excel, Outlook)

  • Strong communication skills

  • Good organizational and multi-tasking abilities

  • Problem-solving skills

  • Customer service orientation

  • Minimum High School diploma; additional education a plus

Essential Functions

  • Greet visitors and guests, and direct them to the appropriate staff member

  • Answer, screen, and forward incoming calls and messages

  • Maintain tracking log for grant and project reimbursement requests

  • Assist staff in typing, formatting and distributing documents, letters, presentations and reports.

  • Assist with scanning and uploading documentation to the state grant management system

  • Maintain inventory of office supplies and paper, place orders as needed

  • Maintain office services including copier and building service calls

  • Assist with employee recruitment tasks, including posting of advertisements for employment, receive and

    distribute responses and resumes, schedule and coordinate interviews

  • Prepare meeting attendee lists, nametags, materials

  • Assist communications managers as needed for public meetings, open houses, etc.

Founded in 1964, in part to represent the interests of the Commonwealth during the establishment of the Washington Metropolitan Area Transit Agency (WMATA), NVTC is charged with the funding and stewardship of WMATA and the Virginia Railway Express (VRE), which it co-owns. NVTC is also the lead agency in the administration of the Commuter Choice program, a multi-decade effort that leverages toll revenues from Northern Virginia express lanes to support transit and TDM activities along those corridors. The competitive salary depends on experience and qualifications.

Salary Range: $45,000-$55,000

Additional Information

NVTC’s office is located in the Court House area of Arlington, Virginia. Work hours are generally 8 a.m. to 5 p.m., Monday through Friday. Additionally, work hours may vary based on business needs and will include evening (Commission and Committee meetings the first Thursday of each month) and weekend hours. Some local and regional travel may be required.
