The Assistant Manager, Development Systems & Database works with the Director, Development Systems & Strategies in implementing and maintaining systems pertaining to the Development office. This includes internal database maintenance and training, gift entry management, and financial reconciliation. The incumbent must be able to manage his/her time, resources and work load to maximize productivity. An eagerness to problem solve with a positive attitude is essential.

Duties and Responsibilities:

20% Act as a Tessitura super user for the Development department, organizing and leading regular Tessitura trainings and reviews with new hires and long term development staff; liaise with IT on CRM and Systems related projects; represent the Development department at CRM meetings; execute regular setup and maintenance in the Tessitura database as needed; create and implement CRM related process improvements for the department

20% Along with the Director, manage contribution entry procedures for the development department; train department colleagues on the gift entry procedures; process contributions above $1,200 to the Kennedy Center, NSO and WNO servicing over 4,000 patron records and totaling over $60 million in contributions; serve as an internal auditor for batch processing - reviewing batches for documentation and accuracy and ensuring deposit with the finance office

15% Work with the Senior Accountant to manage the resolution of reconciling items between Finance and Development

15% Prepare Tessitura lists and extractions as requested by the department; work with the Assistant Manager of Data Analytics on the preparation and review of development reports as needed, particularly related to Tessitura and Budget

15% Manage and monitor cash-in-transit between the Development office and Accounts Receivable; act as primary liaison with our external stock broker contact; inform stewarding teams when stock and/or wire transfer donations have been received; enter and track stock donation information; deposit and reconcile stock proceed checks; deposit, track and reconcile pre-deposited checks

10% Assist the Director in budget analysis and budget entry, financial reporting and reconciliation, strategic planning for development as needed

5% Manage lounge billing payment processing in Tessitura; work with the Circles office and lounge manager to research and resolve lounge billing issues including unknown patrons, declined cards, and billing errors

N/A Responds to the needs and requests of Kennedy Center management and staff in a professional and expedient manner, adheres to all employer policies and procedures, and other duties as assigned.

Key Qualifications:
  • You have a bachelor's degree.
  • You have a minimum of 3 years of experience working with customer databases. Experience with Tessitura preferred! You must possess the facility to learn, understand, and use such software with relative ease.
  • You have the ability and confidence to work without close supervision, to foresee development needs, and to generate work for this position and for others supportive of this position including an intern.
  • You have a high degree of comfort working with budgets and financial information, and Microsoft Excel, preferably including graphs and pivot tables..
  • You are extremely detail-oriented.
  • You have superior organizational, written, and verbal communications and interpersonal skills.
  • You have proven organization and prioritization skills.
  • You have the ability and confidence to work without close supervision.
  • You have the ability to foresee development needs and to generate work for this position and for others supportive of this position.
  • You have the ability to delegate and multitask.
  • You display professional interaction with donors at all levels, Board members, other staff, and volunteers daily.
  • Experience with Tessitura is a plus!


Physical Demands

While performing the duties of this job, the employee is regularly required to communicate in person and on the telephone. The employee is frequently required to use hands to finger, handle, or feel in order to operate computer keyboard, office equipment, and other essential tasks. The employee is frequently required to sit, stand, walk, bend, stoop, crouch, and reach with hands and arms. This position infrequently lifts, carries, or otherwise moves and positions objects weighing up to 25 pounds.

Work Environment

The noise level in the work environment is minimal.
