Requirements

The Records Coordinator serves as the first point of contact for the Registrar's Office. Serving as an intermediary, the incumbent is responsible for determining which matters the Office of the Registrar can handle and directing any other questions to the appropriate office or individ u al. Responds to inquiries concerning Law Center administrative and academic policies and office operations; and is responsible for the accuracy of all information conveyed to students in person, via e-mail or over the phone . The incumbent must demonstrate discretion and diplomacy in all dealings.

Duties include but are not limited to:

Front Desk Operations
  • Serve as first point of contact for current and prospective students,faculty, staff, and alumni. Will handle between 100 - 300 inquiries a day in an efficient and professional manner.
  • Responsible for providing support services for walk up, phone,and email customers.
  • Designs and updates office forms.
  • Updates student contact information in Banner, including current email addresses.
  • Escalates emergencies to the correct area of operation.
  • Process official transcripts for students and a lumni.
  • Gains proper certification and clearance for student's accounts.


General Administration
  • Accepts and records receipt of approximately 1500 papers each semester and forwards to professors.
  • Stays current with all legal writing requirements.
  • Advises Registrar of courses which circumvent the requirements as stipulated in the Student Handbook.
  • Coordinates with appropriate Deans,either for the J.D. or Graduate program, for approval of extension, and then communicates Deans' decision to the student and the faculty member. Reflects decision on students' records in Banner.
  • Develop and maintain a tracking system for all paper and extension-related matters so that other staff members have a complete picture of a student's situation.
  • Back up assistance exam review process , collecting and distributing exams as well as providing feedback to students.


Qualifications
  • Requires a bachelo r' s degree or equivalent experience determined by the Office of the Registrar manage ment.
  • Exemplary organizational and customer service skills.
  • Possess exceptional communication skills and must be able to work with diverse constituencies, including students, faculty, staff, alumni, and other visitors.
  • Highest levels of professionalism and office decorum, while retaining the interpersonal skills necessary to successfully relate to other members of the Law Center community .
  • Attention to detail, good listening skills, and an ability to establish priorities are critical to success in this position.
  • Communicate well with a wide variety of constituencies, and must be capable of maintaining the confidentiality of sensitive information.
  • Working knowledge and prior use of Banner, Microsoft Access, and other Microsoft suite of products. Effective oral and written communication skills.
