Summary

Supports all fundraising programs across AARP Foundation, including development, advocacy, and Tax Aide gifts, depositing, processing, and acknowledging gifts received. Ensures timely and accurate deposit of the gifts, data entry into various CRM systems, notification of internal gift officers, and acknowledgement of all such gifts via personalized tax receipts and thank you letters. Maintains PCI compliant logs of received donations and ensures timely processing of all high-dollar donations and their acknowledgements in compliance with IRS rules and Association of Fundraising Professionals (AFP) donor bill-of-rights. Ensures financial reconciliation of entered gifts.

Responsibilities
  1. Deposits all gifts made to Foundation development, AARP advocacy, and Tax Aide. Works across a matrix structure with the Vice President, Finance and the Controller to ensure up-to-date general ledger coding for each gift. Obtains instructions on depositing large checks to ensure compliance with grant rules and other internal policies. Works with Accounting on re-classing funds, as needed to comply with donor bill-of-rights. Ensures accurate compliance with restricted designations, Donor Advised Fund gifts, IRA distributions, and other sensitive giving vehicles. Works closely with Development staff to ensure correct coding of gifts as it pertains to field offices, restricted giving, planned gifts, and pledges.


  1. Serves as the gatekeeper for all VIP donations. Works closely with major gift officers to notify them when their gifts arrive, looks out for their anticipated gifts via checking all channels, including wire transfer, the Treasury Operations Center (TOC), and other points of revenue entry. Works closely with Development staff to ensure correct coding of gifts as it pertains to field offices, restricted giving, planned gifts, etc.


  1. Maintains accurate donor records with all gifts. Maintains multiple CRM systems with donor data. Keeps Board-giving records meticulous and up-to-date. Seeks clarity and documents business rules around system-of-record for each type of gift. Conducts quality control across platforms needed to ensure data integrity. Utilizes batch entry to enter all donations, uses adjustment batch to process refunds, and other financial updates. Ensures opportunities are linked to donations, as needed. Maintains Tax-Aide gifts into their CRM systems, according to their business rules and policies.


  1. Implements and manages a PCI-compliant protocol for receiving, coding, and processing donations. Ensures tax receipts and thank you letters comply with IRS, AFP, and Foundation guidelines. Adheres to all applicable laws and follows ethical standards for charitable giving, as defined by the AFP and the Partnership for Philanthropic Planning (PPP).


  1. Provides clear and organized reports on processed donations. Executes donation processing and financial reconciliation with Finance according to established AARP Foundation and IRS guidelines.


  1. Conducts timely acknowledgement production for all high-dollar VIP gifts and restricted donations. Collaborates with appropriate gift officers to capture and reflect the desired tone and personalize the letter. Supports gift officers to achieve their goals by producing timely and error-free gift acknowledgements. Ensures proper scanning of letters and updating donor record with the digital files. Ensures the right type of letter is used for each gift. Works with Tax Aide to accommodate their dynamic acknowledgement program. Produces manual acknowledgement for all VIP, restricted, Donor Advised fund, and other qualified gifts.


  1. Communicates and collaborates with caging firm(s) and internal staff to ensure clarity around responsibilities and manages the out-sourced tasks, if any to ensure satisfactory completion.


  1. Implements various quality assurance processes that are required due to the sensitivity of responsibilities. Communicates roadblocks, deadlines, and requirements clearly and consistently. Manually processes gifts that TOC cannot process, including Donor Advised Fund gifts. Ensures correct and consistent processes to capture sensitive gifts. Remains on top of new donation types received and makes sure there is a process for each type. Works with systems colleagues to create required source codes and methods of gift entry.


  1. Documents and audits all processes around depositing, system updates, and acknowledgement production. Keeps an up-to-date archive of all acknowledgement letter templates.


  1. Prioritizes to-do lists and seeks help, as needed. Remains the main point of contact for TOC to identify what gets processed in headquarters versus what should be sent to TOC. Alerts the team on unusual gifts or patterns. Works with the team to identify efficiencies in processes to optimize manual work.


  1. Exhibits critical thinking and raises a flag when a gift looks wrong or unusual. Interacts with departmental management and the rest of the team to ask questions, obtain clarity, when needed and alert us of new patterns of giving, etc.


  1. Serves as a main stakeholder in producing donor reports used in the Donor Wall recognition project. Applies knowledge of VIP gifts and QC the list to ensure accuracy of donor information.
  2. Acts as the main point-of-contact for America's Charities to obtain employee giving pledges and payment files. Works with vendors to load the data into various CRM systems, as needed


Requirements

Completion of a Bachelor's degree and 3 or more years of gift processing and development support experience; or an equivalent combination of related training and relevant experience, preferably in an association, health, or aging organization.

Skilled with business processes and systems that support strategic, financial, and donor activity reporting.

Experience working with a large team, supporting multiple projects and project management.

Ability to identify and create systems and procedures.

Experience with computer and fundraising software programs.
