Job Summary The Ratner Companies Real Estate Assistant (REA) provides administrative support to the Director of Real Estate and the Real Estate Leaders. SCOPE: Responsible for all administrative tasks, including the electronic and printed filing, preparation, and bi-weekly/monthly reporting of real estate submission packages and related projects to achieve the objectives of the Real Estate team. This is an administrative position reporting to the Director of Real Estate. ESSENTIAL JOB RESPONSIBILITIES: * Support the Real Estate Leaders and effectively interact with company and store Associates (internally) and landlords other vendors (externally) in person or in writing. * Manage all the department documentation and correspondences * Provide in-bound phone support and/or make outbound calls as directed * Establish, organize and maintain all department files and forms, both digital and print * Conduct research and assist with special projects related to departmental goals and objectives * Lead weekly forecast meetings in order to stay abreast of all new salon openings, closings, relocations, lease renewals and related real estate activities. * Update all reports: bi-weekly, monthly, quarterly, annually and/or ad hoc * Schedule, plan and/or coordinate department meetings, including attending them to provide written reports of minutes to participants and non-participants REQUIREMENTS: Education: Minimum of an Associate's (2 year) Degree from an accredited institution or equivalent additional years' work experience without a degree Experience: Responsible for all administrative tasks, including the electronic and printed filing, preparation, and bi-weekly/monthly reporting of all real estate submission packages, and related projects to help achieve the objectives of the Real Estate team. Equipment/Computer Software: * Proficient use of Microsoft Office Suite and Applications (Word, PowerPoint and Excel) * Standard office equipment (PC) Skills and Abilities: * Effective communication with stakeholders of varying levels, internally and externally * Must possess excellent administrative skills; typing at least 60 wpm * Perform basic math skills * Excellent grammar and punctuation * Detail orientation and organizational skills * Able to work independently * Able to handle multiple tasks simultaneously * Familiarity with fundamental real estate concepts Physical demands: * Spend long hours sitting and using office equipment and computers * Some lifting of supplies and materials from time to time weighing up to 10 lbs * Office building/work station environment
