Professional association located in Bethesda, MD is seeking a Manager, Leadership Support. The National Association of School Psychologists (NASP) represents over 24,000 members, has a staff of 30, and an annual budget of $8 million. NASP is located in downtown Bethesda, MD, three blocks from the Metro (Red Line). NASP represents school psychology and supports school psychologists to enhance the learning and mental health of all children and youth. Job Purpose: This position provides key administrative and logistical support for the Executive Director, primarily in the area of supporting various volunteer leadership meetings; office and scholarship support for the Chief Operating Officer; and committee support for the Director of Professional Policy and Practice. The position reports to and works under the general supervision of the Executive Director. Key Responsibilities: Board and Governance Support: Maintains volunteer leadership database records including tracking terms of office, leadership directory and leadership calendar. Assists with communicating and coordinating travel logistics and registration for board and other key leadership meetings (Board meetings, Fall Leadership Meetings, Regional Leadership Meeting, various committees). Assists with materials development. Tracks and manages governance documents. Assists with uploading documents to website, leader portal or Communities, shared folders, etc. Coordinates aspects of leader transitions including materials for the incoming president, departing leader recognition and gifts, producing board name badges, etc. Maintains list of annual awards. Program Support: Maintains application process, updates web pages, and responds to inquiries for the NASP-ERT Minority Scholarship Program. Provides support to scholars and Selection Committee; coordinates scholar materials for awards booklet. Supports Professional Policy and Practice program including pre-meeting and onsite support for various committees; supporting the organization and implementation of the Regional Leadership Meetings, leadership development webinars and trainings. Assists in leadership program evaluation. Executive Administrative Support : Completes a variety of administrative tasks for the Executive Director including expense reports; managing the mail; organizing, managing and printing documents, etc. Supports and coordinate projects and tasks as needed. Office Support: Supports COO on a range of facilities and office management needs (copiers, service calls, key/fob assignments, periodic maintenance and housekeeping needs) maintains various office lists, conference call account, various supplies, etc. Coordinates supplies for headquarters office at convention and convention ribbon desk. Other: Assists with phone and email inquiries; participates in general call rotation and support duties; other related duties as assigned by the Executive Director or COO. Key Relationships: Internal: Executive Director, Chief Operating Officer, Director of Professional Policy and Practice all staff. External: Volunteer leaders, members and vendors. Essential Skills and Experience: Skills needed include excellent communication skills, both verbal and written. Ability to listen and interact professionally and effectively with stakeholders is a key skill for this position, as is the ability to keep sensitive information confidential. The ideal candidate will be strongly self- motivated with the ability to stay organized while managing many details, problem solving, proposing solutions, prioritizing and handling interruptions, while taking pride in their work, and being reliable, creative and flexible. Key elements of the position are managing multiple projects and priorities in a fast paced and team oriented environment. Good technology skills are also important and the ideal candidate will have the ability to learn new technology and effectively manage and maintain leadership and other data. Requirements: The ideal candidate will have proven experience in an executive assistant or similar position. Customer service orientation is a priority as well as the proven ability to work with volunteers and staff. Demonstrated tact, diplomacy, and excellent verbal and written communication skills are required. Working knowledge of iMIS or other AMS database (including data entry, data management, report generation) and various office equipment, broadcast e-mail software (InFormz) and website content management systems preferred. Applicant must be proficient in MS Office programs (Word, Excel, and PowerPoint). Some travel required.
