Job Description:

The job of Human Resources Support Specialist II - Receptionist was established for the purpose/s of greeting visitors, administering front lobby registration, handling incoming calls and performing general administrative duties.
This job reports to the Chief of Human Resources.

Qualifications:
  • Education: High school diploma or equivalent.
  • Experience: Job related experience within specialized field with increasing levels of responsibility required. Ability to speak, translate and read Spanish preferred.

Essential Functions:
  • Assists other employees (e.g. compiles and distributes information, prepares correspondence, reports, and form letters, maintains and updates files, records, and logs) for the purpose of accomplishing tasks or projects.
  • Attends meetings and workshops for the purpose of recording events, conveying and/or receiving information.
  • Controls front office lobby for the purpose of dealing with diverse group of customers.
  • Maintains a wide variety of files and records (e.g. manual/computer, confidential/non-confidential ) for the purpose of providing documentation in accordance with administrative and legal requirements.
  • Performs a variety of assigned general office duties (e.g. mail distribution, receives telephone calls and visitors to the department) for the purpose of responding to questions and basic requests for information and/or routes calls and visitors for appropriate responses.
  • Performs record keeping and clerical functions (e.g. scheduling, copying, etc.) for the purpose of supporting the department in providing necessary records/materials.
  • Prepares a variety of documents (e.g. reports, charts, graphs, etc.) for the purpose of documenting activities, providing briefing materials and/or conveying HR office status.
  • Responds to a variety of inquiries from internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction.
  • Supports department office functions for the purpose of delivering services in accordance with established guidelines.
  • Visits school sites occasionally for the purpose of assessing and resolving customer service issues.
