Job Summary/Company:
Sparks Group has partnered with a large government contractor in Rockville, MD that is seeking an eager, professional and energetic candidate to assist with the execution of in-house meetings, conferences, and events! Responsibilities:
  • Support the One Preserve Conference Center facilities, teams, and conference participants.
  • Provide traditional Concierge support such as answering phones, greeting guests, maintaining an inventory of all office supplies and kitchen supplies, and communicating material orders to external vendors.
  • Provide scheduling assistance to the McLean Scheduling Coordinator by monitoring the Meeting Services Help Mailbox (processing requests as required), booking meetings and offering consultation on booking procedures/resources for all internal meetings.
  • Coordinate with Audio Visual team to ensure overall client satisfaction.
  • Provide logistical support to events in the Conference Center such as, Setting up and changing meeting room configurations as per meeting schedules, and moving and store furniture.
  • Straighten/maintain rooms between meetings and maintain the professional appearance of the entire Conference Center at all times.
  • Greet clients/staff at the start of each meeting, keep a daily log of additional client requests, track/maintain inventory, and provide direct client service, including creating/maintaining room set-up diagrams, conducting pre-conference meetings, conducting phone/email confirmations daily, sending follow-up thank you emails to clients, liaison with internal teams (FOS, SST, etc) and other administrative tasks as assigned/required.
  • Other duties as assigned.
  • The hours of this position are from 7am to 4pm with a 30 minute lunch break, including 2 15-minute daily breaks with no exceptions; however, Conference Center leadership may require schedule changes based on meetings/events booked, which may require the candidate to arrive early, alter breaks or stay late.
  • While travel outside the Washington Metro Area is not required, travel between the McLean, One Preserve and 901 15th Street Conference Centers is required on an as needed basis.

Qualifications/Background Profile:
  • 2+ years of experience in a professional environment
  • 1+ years of experience in meeting/conference management, overseeing logistics for event management
  • 2+ year(s) of experience within a customer service environment
  • Ability to work well in a structured and unstructured environment, to be a self-starter, work well under pressure and manage time well; and with little supervision
  • Proficiency within all Microsoft office applications (Excel, Word, PowerPoint)
  • Possessing strong oral and written communication skills with a great business acumen
