Requirements

Georgetown University in Qatar is looking for an Admissions Systems and Communications Analyst to be responsible for refining, developing and managing information systems used by the Office of Admissions for collecting prospect data, online applications, and other information.

Responsibilities:

  • Support the Associate Director of Admissions in developing and maintaining the online application / prospect system, including creation of data imports and exports processes; maintaining and updating queries and rules; troubleshooting issues across the system; and developing best practices;
  • Assist the Associate Director of Admissions to manage applicant data and records; ensuring that all application documents and information are appropriately collected, stored, and accessible. This includes collaborating with GUQ-IT, UIS, GU-Q registrar, and the MC Registrar to integrate data feeds and document imaging;
  • Support the development of the GU-Q Admissions system through continuous improvements and refinement of the Slate database;
  • Ensure regular, coordinated data transfer from the GU-Q online application to Banner.
  • Ensure that admissions personnel can effectively use information systems for tracking of communications, visits, school visit reports, etc;
  • Create documentation of existing and new processes and maintain documents as updates are implemented and, with instruction from the Director of Admissions or other senior members of the admissions staff, create training manuals and instructions for staff;
  • Work with GU-Q financial aid to ensure seamless exchange of data to facilitate financial aid review and award notification;
  • Maintain and update Admissions web pages (including, as needed, financial aid), so that website visitors find relevant, timely, and accurate information;
  • Engage in recruitment and admissions activities (applicant advising, school visits, presentations, file review, admissions committee deliberations, etc.) to inform and test necessary systems;
  • Research and learn new technologies and techniques that may assist in either enhancing a system's capabilities or improving office workflow efficiency;
  • Seek opportunities and synergies to leverage current admissions systems for uses beyond admission applications (e.g. Educational Enrichment activities and applications, etc.);
  • Organize admissions staff / student worker training sessions as needed for various functions (Slate, Banner, database, document scanning) - providing instruction or identifying appropriate instructors internally or externally;
  • Other duties as assigned.


Qualifications:

  • Bachelor's Degree;
  • 2+ years of experience in an English-speaking and/or bilingual office environment with extensive systems experience;
  • Significant experience in an academic setting, with university admission experience preferred;
  • Clear understanding of admissions processes, standards and systems requirements for an admissions office;
  • Experience juggling demands from multiple and diverse constituencies;
  • Demonstrable aptitude for learning new computer-based skills and for sharing knowledge with team members;
  • Excellent interpersonal and communications skills;
  • Familiarity with all standard tools for the job, including database program(s), spreadsheet program(s), and HTML, SQL, CSS, Visual Basic, etc;
  • Experience with database tools and web-based systems is essential;
  • Experience using Technolutions' Slate for Admissions is highly desirable;
  • Familiarity with Microsoft Office Suite;
  • Fluency in English language.
