Administrative Assistant and Program Coordinator

The Office of the Provost provides leadership and guidance to support and achieve the academic mission for George Mason University. The mission of the office of Graduate Education is to support graduate students and post-doctoral fellows in their education, and collaborate with faculty and graduate programs to elevate graduate education and support research across the University. The office also provides programmatic support, policy expertise, and customer service to colleges, schools and institutes.

As a member of the Associate Provost's support staff, the administrative assistant and program coordinator position provides support to the Associate Provost, the office of Graduate Education and the Office's key constituent groups. This includes, but is not limited to: Academic Units, Graduate Council, and students. The objective of this position is to provide program support to graduate students and programs and provide administrative support to the Associate Provost for Graduate Education.

Responsibilities: * Managing the Associate Provost's calendar and daily schedule; preparing and disseminating correspondence; answering telephone and in-person (students and faculty) inquiries; responding to internal and external e-mails; providing requested materials to internal and external audiences; * Responsible for managing the Associate Provost's travel schedules and commitments and corresponding reimbursements. Fiscally responsible for credit card purchases for the Associate Provost; * Work directly with the Director of Graduate Academic and Student Affairs preparing and reviewing materials and correspondence regarding student appeals and proposals. Work directly with the Graduate Education Manager on all awards, grants and scholarships. Establish professional and reliable reputation with faculty, and others who may collaborate with the Graduate Education team. Maintain strict confidentiality with all materials, and those concerning student grades in particular; * Serves as Graduate Council Secretary: reviews item submissions for accuracy; maintains Graduate Council's web pages and files; coordinates with Registrar's Office for implementation; communicates with Council members; prepares and maintains Council meeting agenda and minutes; serves as point of contact for the university regarding Graduate Council; * Manage, schedule, publicize and evaluate various events that the Office of Graduate Education hosts regularly. Plan, promote, coordinate with other departments, and monitor special events. Maintain and update the Graduate Education website; and * Provide excellent customer service in a calm, professional manner to all key customer groups, including but not limited to: The Office for Research, the President's Office and the Board of Visitors; Deans and Directors and members of the Provost's Senior Staff; colleagues and co-workers; students and parents; faculty members and outside callers who may represent state and local governments and/or governing bodies, or professors from other institutions of higher education.

Required Qualifications: * Must be an excellent communicator; * Skills in operating applicable office equipment and software, such as MS Office and Adobe products, other software packages required to carry out the functions of the office; * Ability to work both as a team member and independently; * Ability to prioritize, multi-task, meet deadlines, be detailed-oriented and work in a professional setting; and * Ability to provide excellent customer service to students, faculty and academic units.

Preferred Qualifications: * Detailed knowledge of the Graduate Education academic and funding programs and ability to communicate policies and procedures related to the program. * Knowledge of Graduate Education-related meetings (e.g. Research Council) with the ability to administer the program by providing administrative support, web support, and maintaining a complex filing system; * Detailed knowledge of the Graduate Education academic and funding programs and ability to communicate policies and procedures related to the program; and * Experience with INB and Workflow processes.
