Job Summary/Company:

Sparks has partnered with a luxury wealth management company. We are seeking an experienced administrative assistant/ office manager who will oversee daily operations, perform routine client service, and assist with our business development and community outreach.
Our ideal candidate will be available either full or part-time and have previous experience in a financial service firm, medical office, or other professional operation. We prefer someone with a college degree and a minimum of 5 to 7 years of related experience. Responsibilities:
  • Office Management:
    • Organizes client review schedule, arranges meetings, and follows up with clients.
    • Performs daily administrative tasks, answers phones, solves routine office issues, maintains postage meter, renews domain names, pays vendors, orders supplies, troubleshoots low lever tech issues, reviews credit card and bank statements and maintains our professional office environment.
    • Updates CRM and other databases.
    • Manages compliance, continuing education, and other industry reporting.
    • Assess internal processes and suggest improvements.
    • Maintains relationships with local universities to insure a steady supply of interns.

    Client Service:
    • Handles basic client service requests (address changes, check processing, reset login credentials, research account activity, etc.)
    • Creates basic client review reports using industry software.
    • Prepares conference room and greets clients and invited guests.

    Marketing:
    • Supports our outreach program by contacting potential referral sources and prospective clients (via email, mail, telephone, or in-person).
    • Coordinates the firm's marketing efforts including updating sales material, and making "warm calls" to arrange prospect meetings.
    • Organizes and attends Company events
    • Attends networking events and develops relationships with potential clients and referral sources.

Qualifications/Background Profile:
  • Candidates should have 4-year college degree and a minimum of 5 to 7 years relevant experience.
  • Proven results working a busy, successful office.
  • Comfortable interacting with prospects and clients.
  • Exceptional written and verbal communication skills.
  • Ability to work independently in a high-pressure, fast paced environment.
