SPANISH-SPEAKING PRACTICE ASSISTANT

Washington, DC

Elite global law firm has an immediate need for a Practice Assistant who possesses fluency in Spanish (native proficiency strongly preferred).  The Practice Assistant will work under the supervision of attorneys and perform a wide range of legal services, including administrative and legal office procedures assigned to a particular group and as a team member and report to the Practice Assistant Coordinator and the Office Manager.

RESPONSIBILITIES:

Administrative

  • Managing bills and collections files
  • Creating and maintaining Outlook contacts and email distribution lists
  • Managing attorney calendars
  • Reviewing and releasing time sheets
  • Maintaining updated and accurate client and matter lists
  • Completing conflict search reports
  • Managing Interwoven project folders
  • Assisting with client development and research
  • Managing and submitting expense reports
  • Managing activity and availability report programs
  • Planning and organizing workflow to comply with established time constraints and meet deadlines
  • Carrying out projects assigned effectively and in a timely manner
  • Working in an organized and efficient manner
  • Using good judgment at all times and asking follow-up questions if instructions are unclear
  • Showing excellent attention to detail and being familiar with the resources available
  • Having a thorough knowledge of department and Firm procedures, upholding all rules and policies
  • Keeping Desk Reference information up to date and easily accessible for use by other Practice Assistants
  • Making travel arrangements (transportation, lodging, meals) and preparing business itineraries
  • Arranging overtime coverage with the Document Production Department for lawyers and legal staff
  • Preparing AmEx bills for reimbursement
  • Preparing client bills for partners
  • Preparing forms for practice-specific needs
  • Updating legal handbooks and CCH’s, etc.
  • Participating in yearly goal-setting with managers; meeting or exceeding yearly goals, seeking managerial guidance and support, if necessary, in order to do so
  • Assisting in obtaining and returning items to library

Communication

  • Providing excellent internal and external customer service to attorneys, clients, and visitors
  • Serving as a liaison between administrative departments and lawyer/legal staff
  • Answering, screening, and placing calls in a professional manner
  • Taking accurate messages and promptly informing attorneys of the messages taken
  • Communicating clearly and accurately any issues with workload to the assigned attorneys in a timely manner
  • Interpreting instructions to produce quality documents, keeping legal staff apprised of the status of work as well as any problems encountered with systems or programs
  • Prioritizing, managing, and communicating the status of multiple assignments in a timely manner
  • Meeting and greeting clients in a professional manner
  • Showing discretion and keeping information confidential
  • Working in a team environment and providing secretarial support to multiple lawyers/legal staff on the team, including assisting with overflow work and practice-specific responsibilities

Technical

  • Demonstrating proficiency in Microsoft Office programs – Word, Excel, PowerPoint, and Outlook
  • Ability to learn and master new software suites quickly (i.e. Firm and practice-related software applications)
  • Significant knowledge of Superior and District courts, as well as knowledge of Appellate court systems
  • Drafting grammatically correct routine letters, memos, reports, emails, faxes, etc. in proper Firm style and format
  • Proofreading and editing correspondence to correct grammar, spelling, and punctuation in both English and Spanish
  • Printing and filing correspondence
  • Producing and transcribing accurate dictation
  • Creating, organizing, and maintaining hard copy and electronic files
  • Drafting and submitting diaries
  • Maintaining client and matter lists
  • Creating and maintaining Outlook contacts and email distribution lists
  • Knowledge of arbitrations and arbitration filings preferred
  • Excellent understanding of discovery, motions, subpoenas, summons and complaints, and any court document that must be responded to in a timely manner
  • Knowledge of PACER, court e-filings, Legal Solutions, and court rules
  • Ability to quickly locate court rules and forms on the Internet
  • Ability to create shell pleadings and discovery documents
  • Significant understanding of court deadlines, calendaring, and the Firm’s docketing procedures
  • Must have the ability to accurately type at least 65 WPM

  • Must be flexible with work hours based on the Firm’s needs

QUALIFICATIONS:

  • High school diploma required; Bachelor’s degree preferred
  • Notary Public license preferred
  • At least six (6) years of legal secretarial experience
  • Must possess high level of Spanish fluency (verbal and written communication)
  • This position requires the ability to perform word processing up to 85% of the time on any given day; ability to use the telephone; operate dictation equipment which requires the use of hands and feet; make copies and PDFs and send faxes from convenience machines; make deliveries within the office which may involve using staircases; ability to lift files and bend or stretch to file folders in low or overhead cabinets; and possibly lift or package boxes up to 40 lbs.
