The Veteran Certification Office seeks a Certification Specialist, skilled and experienced individual in office and administrative support. Under general supervision, functions as a team member providing administrative support to senior team members and the Assistant Director with multi-functional clerical/operational procedures and processes. Assists in coordinating the work with other team members. Must be able to work under time sensitive deadlines, handle multiple assignments and effectively work with a diverse range of customers.

1. Serve as one of two principal office support for the Veteran Certification Office, efficiently and effectively handling all administrative duties, tasks and assignments.

2. Serve as a resource to students, academic departments and the Department of Veteran Affairs via phone or written correspondence and troubleshoot issues and complex inquiries regarding veterans educational benefits.

3. Manage time sensitive general email account under the general supervision of the Assistant Director.

4. Assist in sorting and processing incoming mail. Process received time sensitive financial documentation and other student documents in a confidential manner. Assist with any forms of document scanning and data entry as necessary.

5. Assist and participate in specialized projects as assigned by the Director and Assistant Director.

  • High School Diploma or GED.
  • Four years progressively responsible clerical work to include at least three years on a self-directed team.
  • Thorough knowledge of team office practices, procedures and equipment; of business english, grammar, spelling, and punctuation.
  • General knowledge of the principles of office management.
  • Skill in planning and coordinating team clerical work; interpreting and applying departmental policies and procedures; operating manual and automated office equipment including personal computers and related software; composing correspondence and preparing reports; creation and maintenance of computer files; effective management of executing multiple assignments under specific time constraints.
  • Ability to work effectively in a self-directed team-based work environment; to understand and apply team quality and performance standards.
  • Ability to train and guide team clerical personnel; to maintain poise and courtesy under pressure; to lead analysis of clerical problems and selection of corrective action; to communicate effectively both orally and in writing; to plan and coordinate team activities with multiple areas of the organization; to establish and maintain effective work relationships both within and outside the team.
