Stewardship Correspondence Coordinator - Office of Advancement

The Office of Advancement supports the mission of Georgetown University, its faculty, and students by developing relationships with key constituencies, connecting with alumni, and working with donors to help them know and understand opportunities for partnership with the university.

The Stewardship Correspondence Coordinator plays a critical role in ensuring that all university donors receive a gift acknowledgment, one of the first substantive stewardship touches the university has with any donor. The stewardship correspondence coordinator prepares and manages Vice Presidential correspondence and various acknowledgments to donors that have given gifts of all sizes over $500. The Correspondence Coordinator prepares acknowledgments and correspondence for the Vice President of Advancement, as well as the Chair of the Board of Directors and therefore, this person's work reflects on top university leadership.

On a daily basis, the Correspondence Coordinator must pull donor information and giving data, assisting to help identify trends in donor behavior and ensure that donors receive the appropriate acknowledgment, recognition, and stewardship for their generous gifts. This position manages gift processing and gift corrections for the Stewardship team and works with development staff annually to ensure that all managed prospects receive holiday greetings from the University. The Correspondence Coordinator must develop and provide various reports including daily gift reports, VP acknowledgment reports, Presidential acknowledgement reports, donor information, data on gifts given in honor/in memory of, and endowment and current use reports. This individual pulls gift information and prepares timely and accurate acknowledgment letters to Medical Center donors. The Coordinator must support the activities of the Stewardship team to include a strong expertise and understanding of computer programs, databases, analysis and spreadsheets. This position will serve as the primary person responsible for maintaining and reporting on the measurement and metrics of our overall stewardship activities. This position requires a commitment to the mission of the Office of Advancement and its dedicated work to build and maintain relationships integral to the success and future of the University.

This position will report to the Director, Stewardship and Donor Communications and interact with all levels of staff in the Office of Advancement to expedite the aforementioned duties. The incumbent of this role will also interact with donors, Associate Vice President for Campaign and Development Operations, and the Director of Stewardship to facilitate stewardship duties. The Correspondence Coordinator will have duties that include, but are not limited to the following:

Donor Acknowledgement and Recognition

  • Run daily gift reporter to prepare and produce donor acknowledgments.
  • Format and prepare data and background information for gifts that require recognition from the President's office and the VP of Advancement.
  • Create, run, and analyze data to identify trends in giving behavior.
  • Prepare reports and supporting information to acknowledge the generosity of donors on plaques, commemorative presentations, memorial donor walls, etc.
  • Ensure courteous, accurate, and timely responses to inquiries, in person, by phone, and on e-mail from internal and external constituents.
  • Run PRM, Gift Reporter, and Gambit-related reports.
  • Coordinate the entry of contact reports and stewardship actions in PRM as requested.
  • Code donors in the database as part of the stewardship communications strategy.


Cultivations and Stewardship
  • Provide donor stewardship by fielding inquiries from donors and handling sensitive and confidential donor information for the Directors.
  • Prepare specialized acknowledgments when appropriate.
  • Support the Directors and other staff members with various stewardship and donor-specific activities


Analysis
  • Coordinate the maintenance of statistical reports, daily gift reports, YTD reports and other pertinent reports on fundraising activities as needed.
  • Identify trends in donor behavior.
  • Track and benchmark measurable outcomes for participation and customized stewardship strategies


Medical Center Donor Acknowledgements
  • Prepare and manage correspondence and gift acknowledgments from the Executive Vice President of the Medical Center.
  • Prepare and manage gift acknowledgments to Medical Center donors from the Chair of the Board of Directors.
  • On a daily basis, pull donor information and giving data to produce acknowledgments and inform colleagues of gifts received.
  • Using data, ensure that donors receive the appropriate acknowledgment, recognition, and stewardship for their generous gift and identify trends in donor behavior.


Other Activities
  • Assist other departmental areas as assigned.
  • Attend Office of Advancement and other Georgetown meetings.
  • Participate as volunteer in Office of Advancement events.
  • Conducts research on best practices with peer institutions when applicable.
  • Attend professional development trainings.


Qualifications
  • Bachelor's degree required or equivalent years of experience (minimum of 3 years).
  • 1-3 years of work experience, preferably in a development/fundraising environment.
  • Strong computer skills, including all Microsoft applications, most importantly strong experience with Excel (Word, Excel, PowerPoint, and Access). Strong knowledge of databases and familiarity with computer programming.
  • Expertise in PRM, Gambit, and other software to produce reports and presentations.
  • Excellent written and oral communication skills.
  • Emotional intelligence as it relates to customer relations.
  • Experience working with donors is a plus.
  • Ability to initiate and complete projects and provide donor support with little supervision, exercising good judgment.
  • Ability to assimilate data, exercise sound judgment and discretion, and work independently.
  • Willingness to assume responsibility for all aspects of specific programs, ranging from overall oversight and management to detailed implementation and execution.
  • Very strong analytical and organizational skills, with the ability to multi-task and prioritize.
  • Excellent problem solving skills.
