Coordinator for Curricular Affairs (CCA)

The Coordinator for Curricular Affairs (CCA) manages, supports and coordinates all aspects of the 4th year scheduling process, including communication with students (both GUSOM students and visiting students), making changes to schedules, updating systems as appropriate and notifying hospitals of roster assignments. He or she is part of a group of seven educational program coordinators within the Office of Medical Education, and works as a Team Leader - is familiar with the operations of the OME, advises and directs the teams, answers complex questions, functioning as an expert resource; maintains assignment completion schedules, and is available to provide support as needed to other preclinical courses - balancing out the workload among educational coordinators and allowing for appropriate cross-coverage and support of all preclinical courses. The CCA works closely with the deans and staff of the Office of Medical Education and clinical affiliate contacts to coordinate the administrative aspects of the 4th year scheduling, planning. Reporting to Director of Curriculum Management, in the Office of Medical Education (OME), the Coordinator has duties that include but are not limited to:
  • P rovide support as needed to other pre-clinical courses, other than those specifically assigned, in order to balance out the workload among educational coordinators. This will allow for appropriate cross-coverage and support of all preclinical courses.
  • Serve as the front-line staffer in the Office of Medical Education, with office accommodations in NE 113. In that role, this educational coordinator will be responsible for the daily management of the activities of the office, including greeting office visitors, students, faculty and staff; managing the mail and faxes, supplies and equipment maintenance.
  • Support and coordinate all aspects of his/her assigned pre-clinical courses and, and 1st year and 2nd year modules, and "doctoring courses", including the scheduling of lectures, organization, copying, and distribution of the syllabus material, coordination of any small group experiences, and preparation and scoring of exam materials.
  • Work closely with the course and module directors to coordinate the administrative aspects of their modules.
  • Contact assigned lecturers, negotiate formats and collect handout materials, and confirm schedule dates, and review for conflicts.
  • Coordinate preparation, proofing, printing, and distribution of syllabus and course materials.
  • Obtain and distribute course rosters, and make small group assignments as necessary.
  • Reserve small group rooms, AV equipment, supplies for small group activities and labs.
  • Correspond with students regarding the course, reviews, exams, syllabus, and provide notification of any course changes.
  • Maintain a BlackBoard presence for course, and load MP3 files onto appropriate BlackBoard sites within 1 business day.
  • Coordinate exams, including preparation, proctoring, scanning, posting; and coordinate post exam review.


Qualifications
  • Bachelor's degree from an accredited institution
  • At least 3 years of experience in an office setting with knowledgeable about routine software and equipment used
  • Experience working in a higher educational academic setting, prior experience working with students, and an educational background consistent with working in higher education
  • Ability to interact successfully within a team setting, and to follow-through on assignments and responsibilities
  • Excellent communication skills with ability to prioritize, exercise independent judgment, and make decisions necessary to support and coordinate all aspects of his/her duties
  • Analytical ability, as well as a strong social science background, toward working effectively with students
  • Proficiency working on a PC, with knowledge of Microsoft Word, Excel, and Access
  • Individual is expected to be familiar with an office setting, and knowledgeable about routine software and equipment used. Additionally, she/he should be able to interact successfully within a team setting, and follow-through on assignments and responsibilities
