Accounting Specialist, Acquisitions - Main Campus Libraries

The Georgetown University Library is an agile organization that respects the heritage of the past while anticipating the requirements of the 21st century. By providing preeminent services, collections and spaces, the Library shapes the creation of knowledge, conserves culture for posterity, and transforms learning and research.

The Accounting Specialist is responsible for reconciliation and payments for all library materials' cost centers worth approximately $7 million. Reporting to the Head of Acquisitions Unit, he/she has duties that include but are not limited to:
  • Provides accurate and timely processing of Lauinger Library, Kennedy Institute of Ethics Library, Woodstock Theological Research Library, and Booth Family Center for Special Collections invoices for payment via Georgetown University Management System (GMS) by GU Accounts Payable.
  • Regularly monitors and follows up on payment of library invoices in GMS.
  • Monitors allocations, expenditures and encumbrances for fund codes in the Integrated Library System (ALMA).
  • Maintains all necessary files and documents for reconciling payments on a monthly basis.
  • Initiates and follows up on accounting journals in GMS to transfer allocations and expenditures between different cost centers, departments and libraries.
  • Deals directly with publishers and vendors to resolve invoicing and payment problems.
  • Ensures that vendor records are complete and current for payments to be processed according to University tax policies and procedures.
  • Posts and loads invoices into GMS.
  • Runs reports on GMS as needed and requested.
  • Performs the roles and responsibilities of financial reporter and financial reviewer within GMS.
  • Interacts with colleagues in various units within Financial Affairs, including Accounts Payable and the Tax Department, as well as with local and foreign vendors to resolve invoice and payment related issues.


Requirements
  • Bachelor's degree in Accounting, Business Management or related field or an equivalent combination of education and experience
  • 2 years of accounting experience, preferably in a library environment
  • Familiarity with integrated library systems, especially the acquisitions module
  • Experience and proficiency with Microsoft Office applications required, particularly Excel, especially in using pivot tables
  • Good organizational initiative, excellent inter-personal skills, and team orientation

  • Ability to use multiple/different systems for reporting
  • Strong multitasking skills
  • Flexibility in meeting changing needs and variation in daily work
