Educational Coordinator, School of Medicine - Office of Medical Education

This position will provide the educational support to any of the phases of the medical school curriculum: preclinical and/or clinical curriculum, depending on the current office needs and other duties as assigned. This position works closely with the medical students, faculty and staff in the administrative function of curriculum implementation. The Office of Medical Education serves as the centralized office committed to providing curriculum for pre-clinical education and as an important resource for our affiliate sites in providing clinical education to our medical students

The Coordinator, together with six (6) other coordinators within the Office of Medical Education, is supervised by the Director of Curriculum Management. These seven (7) individuals are responsible for distributing and implementing the four-years of medical education to 800 medical students. Duties include but are not limited to:
  • Support and coordinate all administrative aspects of his/her assigned courses/modules. This may include, but not be limited to:
  • Contact assigned lecturers, negotiate formats and collect handout materials, and confirm schedule dates, and review for conflicts;
  • Coordinate preparation, proofing, and posting of syllabus and course materials. Assist module/course director with logistical planning of lectures, assignments, due dates and evaluations. Advise module/course director of OME and GUSOM policies;
  • Assist with lecture set up as necessary;
  • Create small group assignments, reserve rooms, AV equipment, supplies for small group activities and labs. Keep track of attendance and grade impact;
  • Correspond with students regarding the courses, reviews, exams, syllabus, and provide notification of any course changes;
  • Build and maintain an LMS Site (Blackboard/Canvas) presence for responsible module/course.
  • Coordinate exams, including: distributing and collecting questions to individual faculties; formatting and uploading to create electronic test; scheduling make-up exams; creating and announcing exam logistics; serve as team leader for exam day proctoring; scoring and submitting reports to module director for approval; posting grades; coordinating post exam review;
  • Assist in implementation of faculty member's instructional continuity plan during campus closures and delayed arrivals. i. Provide support as needed to other preclinical courses, other than those specifically assigned, in order to balance out the workload among educational coordinators. This will allow for appropriate cross-coverage and support of all preclinical courses.
  • Serves as the front-line staffer in the Office of Medical Education, with office accommodations in NE 113. In that role, this educational coordinator will be responsible for the daily management of the activities of the office, including greeting office visitors, students, faculty and staff; managing incoming phone calls, mail and faxes, maintaining supplies and equipment.


Requirements
  • Bachelor's Degree required as well as proficiency working on a PC/MAC, knowledge of MS Office Suite
  • Minimum of one year's experience in fast-paced customer service, administrative, or event planning role
  • Experience in an office setting; comfortable learning and proactively exploring new software/equipment
  • Must be a team player with the ability to follow-through on assignments and responsibilities
  • Experience in higher education preferred
