Senior Associate Director, Annual Giving Direct Mail Marketing & Operations - Office of Advancement

The Senior Associate Director, Annual Giving Direct Mail Marketing & Operations serves as the lead central point of service delivery for direct response solicitation and stewardship for Annual Giving and partner efforts. S/he works with advancement professionals to identify and integrate marketing plans for new alumni markets into the existing plan, assess direct marketing results and provide programmatic recommendations to internal clients and management, assist in the development and delivery of a stewardship strategic plan and manage the donor recognition societies. He/she is responsible for increasing overall number of donors, and participation and retention rates through direct mail across all key market segments, including alumni, parents, and friends of the university. Reporting to the Senior Director, Annual Giving Marketing & Participation, the Senior Associate Director has duties that include but are not limited to:

Direct Mail Management, Executive and Results Reporting
  • Manages all direct mail planning, designing, execution, results reporting and archiving for the direct mail efforts.
  • Manages all complex data segmentation and works closely with the Senior Director to make recommendations surrounding segmentation for direct mail.
  • Directs budget management and oversight on all spending related to direct mail and stewardship
  • Provides monthly reports related to budget and projections/recommendations related to budget.
  • Ensures the continuity, accuracy, and presence of Annual Giving messaging throughout communications tools.
  • Ensures that Georgetown Fund messaging and Georgetown overall are accurately reflected throughout communications materials.
  • Develops a process in conjunction with the other Annual Giving directors to ensure messaging across their areas is on point and present in fundraising tools.
  • Leads a direct marketing and communications process evaluation that provides best practices for the execution of direct marketing projects and the opportunities for improvement in current practices at Georgetown.

Direct Mail Innovation
  • Provides best practices and innovative ideas for direct response marketing that are on forefront of Annual Giving to grow and unlock new alumni donors for Georgetown.
  • Provides a series of 'tests' for direct marketing response in order to make sound recommendations.
  • Executes predictive data modeling to ensure cost efficiency for all direct mail projects.

Data Analytics for Direct Response Marketing
  • Using strategic data analysis and a results driven approach, makes extensive communications, marketing, and goal planning recommendations at the beginning of each fiscal year and throughout the year, as necessary - to include ownership and execution of an annual direct mail marketing plan and a pipeline development plan that supports and empowers Annual Giving directors and other internal stakeholders.
  • Provides recommendations for targeted direct mail approaches that are innovative and results driven. Presents to Annual Giving team members and internal stakeholders (as needed) the results from their individual unit direct mail responses.
  • Loyalty Society Stewardship Program Execution
  • Produces strategy documents and recommendations surrounding LS events, and stewards the more than 22,000 Loyalty Society members.
  • Leads lead innovative events from start to finish including, budget planning, event planning and event execution.
  • Develops new benefits each year as part of the growing LS program.
  • Provides the Senior Director with strategy recommendations for how best to grow the brand and exposure for the LS and serves as the main point of contact for all donor recognition programming.

Team Oversight
  • Manages direct management responsibilities for up to 3 student interns, who execute on-time proof review, email and direct mail archiving, and other tasks and responsibilities as assigned.
  • Assigns projects with deadlines and ensuring all tasks are executed in a timely fashion.
  • Pledge Card Compliance Management
  • Directs strategic day-to-day management of pan campus pledge card process to ensure gift processing and PCI Compliance for pledge card use - including management of a pledge card approval process for external and internal mailings, advisory and compliance follow up with ad hoc requests and responsible assistance in support of teams pan Advancement and University for gift processing compliance and PCI Compliance adherence.
  • Internal Stakeholder Communication
  • Manages a high level of customer service with internal stakeholders, such as development officers, communications directors of the smaller units (Library, MSPP, MSB, etc.), Annual Giving team members, CPRC, and others within the Office of Advancement.
  • Provides solicitation codes for all internal stakeholders in a timely fashion.
  • Communicates directly with Gift Processing and Records to ensure all data and metrics surrounding solicitation codes are tracked appropriately.

  • Bachelor's degree
  • At least 5 years of experience in an Annual Giving operating environment, or commensurate experience in marketing field
  • Strong verbal and interpersonal communications skills to effectively interact with a wide range of constituencies (from external vendors to internal partners) in a diverse community
  • Strong customer service orientation
  • Strong written communication skills with ability to produce error-free communications
  • Strong focus on attention to detail
  • Strong data and analytical skills for error free data pulls, data targets, and segmentation, as well as for budgeting, cost effectiveness, and reporting
  • Strong time management, organizational and planning skills with the ability to multi-task in a fast-paced environment
  • Strong problem solving skills with the ability to be resourceful, proactive, and seek assistance as needed
  • Strong project management skills and the ability to work independently
  • Analytical skills and strategic planning, as well as ability to execute all campaigns developed as part of defined strategy
  • Proficiency in Microsoft Word, MS Excel at an advanced level, as well as spelling & grammar
  • Working knowledge of MS Outlook - preference for experience with databases (particularly with fundraising databases)
