    Applicants must have 52 weeks experience at the next lower level in the normal career progression of the position being filled. When compared to Federal experience, this experience must be equivalent to at least the next lower grade level of GS-4. This experience may have been gained either in the Federal or Private sectors, demonstrating the knowledge, skills and abilities to successfully perform the duties of this position. Examples of specialized experience include: 

    1) Utilizing electronic record keeping systems and their varied capabilities to capture, retrieve, and report data;

    2) Knowledge of the capabilities of general office automation software (E.g.: Access database, Excel spreadsheet, and word processing) to facilitate the technical and administrative needs of the office, experience such as developing, maintaining, retrieving, importing, and modifying data, documents, and reports;

    3) Operating office equipment such as printers, plotters, modems, scanners, fax machines, or copiers;

    4) Performing a variety of administrative functions such as sending/retrieving correspondence, answering phone calls, arranging conferences/ meetings, greeting and directing visitors and maintaining schedules;

    Or

    Completion of four years of education above high school level in any field for which high school graduation or the equivalent is the normal prerequisite.

    Or

    Possession of a combination of specialized experience and education as described above that equates to one year of experience.

    Education may be used to substitute for specialized experience.

    Evaluation Factors (Competencies) - All qualified applicants will be evaluated on the following key competencies:

    Communication - courteous and tactful in dealing with all clientele; provides telephone information and/or assistance on routine matters and refers complaints and technical matters to the professional staff timely. Ensures there is coverage of office's telephones at all times. Takes accurate messages from our general voice mail at least once every hour, when necessary, and timely gives messages to appropriate staff. Demonstrates a high degree of willingness to assist others with their assigned tasks; when necessary seeks the expertise of other administrative support team member to further the timely completion of the task.

    Office Automation- create and edit files using a PC; demonstrate knowledge in Microsoft Word, Excel and various automated programs by assisting in inputting data, marginal data etc., Effectively uses word processing software and printing equipment to create, copy, edit, store, retrieve, transfer and print a variety of documents and reports. Completed material is assembled properly with appropriate attachments and within specified time frames. Knowledge of office automation systems to scan documents into appropriate electronic files. Verifies that scanned documents are complete and legible. Store and retrieve electronic documents of files, activates a printer, enters data onto a predefined spreadsheet or database, retrieves data from specified electronic records, and transmits and receives electronic mail.

    The information you provide may be verified by a review of your work experience and/or education, by checking references and through other means.  The examining Human Resources Office (HRO) makes the final determination concerning applicant ratings.  Your resume MUST provide sufficient information to substantiate your responses to the vacancy questions.  If not, the HRO may amend your responses to more accurately reflect the level of competency indicated by the content of your resume.  Your evaluation may also include a review by a Human Resources Specialist or panel and may include other assessments (ex. interview, panel review, written test, writing sample, etc.)
