RECRUITING ASSISTANT Washington, DC Full-service international law firm is seeking a highly motivated Recruiting Assistant to support their Washington, DC office. Under the supervision of the Washington Recruiting Manager, the Assistant will support the Summer Associate and Fall Recruiting programs, lawyer on-boarding and off-boarding, and special projects. The Assistant may work closely with/alongside the Hiring Partner, Partner-in-Charge of Recruiting, Director of Recruiting, and the Washington Partner in Charge RESPONSIBILITIES: Maintaining the recruiting database, tracking applicants, processing all expense requests, generating all correspondence and statistical reporting, and other duties as assigned Assisting with the planning and implementation of all aspects of the Summer Associate Program, including on-boarding and off-boarding, work assignments and evaluations, advisor programs, budget tracking, and event planning and attendance (this may require the ability to routinely lift and carry file folders weighing up to 5-10 pounds) Assisting with the planning and implementation of all aspects of the fall and spring law school on-campus interviews (this may require the ability to transport various stacks of folders and packets to recruiting events without the assistance of others) Assisting with the coordination of callback interviews and the offer process (this may require the ability to work at a computer and use the phone on a routine basis) Assisting with entry-level associate on-boarding, off-boarding, and status changes Assisting the Recruiting Manager with professional development initiatives and lateral hiring on an as needed basis Assisting with lateral hiring, including arranging interviews, coordinating necessary paperwork, and tracking applicants Assisting with any other tasks and special projects assigned by the Hiring Partner, Recruiting Manager, Partner-in-Charge of Recruiting, Director of Recruiting, and Partner in Charge Special projects, such as research and statistical tracking Performing miscellaneous job-related duties as assigned QUALIFICATIONS: Bachelor’s degree is required At least six (6) months of experience in a professional services office environment is preferred Expert knowledge of software, including email; Microsoft Word, Excel, and PowerPoint; and applicant tracking software (LawCruit is preferred) Excellent oral and written communication skills Strong interpersonal skills, patience, and the ability to maintain effective relationships with co-workers and employees Ability to handle confidential information Demonstrated ability to work in a fast-paced environment, work under pressure, and interact with all levels of staff and management effectively Strong organizational skills Highly detail-oriented Self-starter Ability to work independently with little supervision Successful team player with the ability to work as a team lead to effectively and successfully complete approved projects and upgrades Ability to multi-task using planning and prioritization skills to manage workload in a fast-paced environment CORE COMPETENCIES: Strong work ethic and the ability to maintain strict confidentiality Ability to work well with internal and external clients Strong organizational skills, problem-solving skills, and attention to detail Strong customer service focus EXTENT OF CONTACT (within and outside the Firm): Extensive daily contact with lawyers, staff, and colleagues Frequent contact with outside vendors Frequent contact with potential candidates for permanent or summer employment PHYSICAL DEMANDS: Must be able to routinely lift and carry file folders weighing up to 5-10 pounds Must be able to work at a computer for considerable periods of time Position requires extensive telephone use Must be able to lift, squat, kneel, and bend Position requires the ability to visit face-to-face and on the phone with lateral lawyer candidates and Firm lawyers WORKING CONDITION AND ENVIRONMENT: Work is normally performed in a typical office work environment Position requires some travel, including weekend and week-long travel for on-campus interviews and recruiting events Position is full-time and requires a five-day workweek and standard hours as outlined in the Firm policy manual; work frequently requires more than the regularly scheduled hours per week to perform the essential duties of the position, especially during summer and fall recruiting Must be available to work overtime, including weekend hours, when necessary to meet established deadlines or stay current with occasional peaks in workload; must be willing to change regular work schedule to meet the needs of the Firm Must be able to perform essential duties of the position with time constraints and frequent interruptions Ability to work well in high-pressure environments Must be able to make site visits for event planning purposes This position requires occasional travel and the ability to work evenings and weekends as needed.
