Job Details

Provides administrative and office support activities for senior-level managers and other staff. Specific duties are as follows:
  • Composes routine correspondence. Proofs memorandums and documents for spelling and grammar.
  • Provides and explains relevant policies and procedures.
  • Uses multiple software packages to prepare memorandums, spreadsheets, and presentations.
  • Responds to customer service inquiries.
  • Maintains staff calendars. Schedules rooms for classes, meetings, conferences for staff.
  • Creates and uses spreadsheets or databases to organize information and produce standard report and forms. Maintains databases.
  • Serves as back-up to other administrative assistants and other staff within the agency requiring them to drive between Solid Waste work locations.
  • Monitors and updates the agency's emergency response system in the event of an emergency.
  • Functions as a dispatch operator in the operation of a two-way radio.
  • Enters payroll time entry for others and verifies completeness/accuracy of time entered.
  • Provides basic employee payroll and benefits information.
  • Performs document processing and analysis of financial activities and performs basic calculations and reconciliations.
  • Orders goods or services and ensures appropriate routing and approval of purchase requests.
  • Verifies requests for goods and services against county contracts and funding sources.
  • Reconciles receipts or accounts receivables/payables.
  • Engages in safety working practices and complies with Solid Waste safety programs and guidelines. Complies with the DPWES Safety Competencies.
The salary offer for the position will not exceed the mid-point of the advertised salary range. The functional area is administrative, human resources and financial. Employment Standards MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

PREFERRED QUALIFICATIONS:
Knowledge of standard office administrative practices and procedures. Extensive experience and proficiency using Microsoft Word, Excel, and PowerPoint. Experience using automated technologies such as databases and Web-based online applications to enter, modify and pull data for reporting purposes. Exceptional oral and written communication skills and the ability to pay attention to detail. The ability to exercise tact, discretion, and initiative. Well-organized, flexible, proactive, resourceful and efficient. Experience working independently with minimum supervision in a fast-paced, collaborative team environment with a strong commitment to customer service. Ability to juggle multiple projects with superb accuracy

NECESSARY SPECIAL REQUIREMENTS:
Is required to complete a criminal background check and driving record check to the satisfaction of the employer. The incumbent of this position is deemed essential services personnel due to the maintenance and continuity of core county operations during the activation of an emergency or critical incident. As such, the incumbent maybe required to report to work during a declaration.

PHYSICAL REQUIREMENTS:
Ability to lift up to 35 pounds, stand, walk, climb, use hands to finger, handle, or keyboard, reach with hands and arms, stoop, and hear. Ability to: stand for long periods of time; handle repetitive motions; perform duties in any type of weather conditions. May be exposed to household hazardous waste. Physical requirements can be performed with or without reasonable accommodations.
