Job Summary

The Office of the Director of the Finance and Administration Division of the International Food Policy Research Institute (IFPRI) seeks a qualified candidate to serve as an Administrative Assistant. The successful candidate will provide general administrative support to the day to day operations of the Division.  This is a one-year non-exempt, renewable appointment based in Washington DC. 

Essential Duties:

Specific duties and responsibilities include but are not limited to:

General

  • Copying and scanning documents
  • Electronic filing via Dropbox and document management system
  • Complete travel and non-travel expense reports
  • Format and print monthly Project Status Reports, Divisional Financial Statements and Service Center/Indirect Expense Reports
  • Handle Office of the Director incoming mail and outgoing mail
  • Arrange for periodic forwarding of mail/packages to field offices and serve as a point person for receipt of packages from field offices
  • Occasional support for Word and Excel document formatting and preparing PowerPoint presentations
  • Other F&A administration duties as assigned

Meetings Support

  • Schedule and coordinate meetings
  • Catering support
  • Compiling/organizing and printing documents/materials

Accounting Support

  • Enter invoices into the electronic workflow and approval
  • Enter staff travel advances
  • Other data entry as needed

Required Qualifications:

  • High School Diploma and one year of relevant professional experience
  • Proficiency with MS Office: Outlook, Word and Excel and the Internet
  • Excellent English language skills
  • Demonstrated understanding of basic accounting procedures

Responsible with confidential material; comfortable working with financial information

  • Detail-oriented and ability to follow through to closure
  • Ability to be flexible in performing duties

Preferred Qualifications:

  • Bachelor's degree
  • Experience working with electronic document management system
  • Experience working in an international setting
