Assistant Director, Faculty Support Services - Georgetown University Law Center

The Assistant Director of Faculty Support Services manages a team of 11-14 faculty assistants and support personnel who provide a wide range of administrative support services for full-time faculty at Georgetown University Law Center. The Assistant Director works closely with faculty to determine their support needs and expectations, oversees support assignments, ensures an equitable distribution of work, upholds compliance with relevant policies and procedures, and liaises with several departments throughout the Law Center. S/he will also have substantial training and development responsibilities and oversee the design of new processes and policies that enhance service and delivery.  Duties include but are not limited to:

Management and Delegation

  • Oversees task delegation and supervision for a team of 11-14 faculty assistants and support personnel.
  • Evaluates faculty requests to ensure that they fit within the scope of services offered by the department.
  • Makes adjustments to individual assistants' workloads to ensure equitable distribution.
  • Delegates special projects and makes assignments based on availability, skill level, and areas of individual interest.
  • Maintains data regarding faculty usage levels to assist with annual assistant assignments.
  • Assigns and manages backup coverage when assistants are out of the office; ensures that there is no interruption in faculty service.
  • Holds regular meetings with each assistant to monitor workflow and completion.

Onboarding, Training, & Development

  • Leads the recruitment, screening, and interview process for vacant faculty support positions.
  • Oversees onboarding processes for newly hired staff.
  • Ensures that faculty assistants are trained and proficient in instructional technologies such as Canvas.
  • Ensures that faculty assistants are proficient in platforms such as Microsoft Office, Google Suite, and Box.
  • Participates in the design and delivery of regular training sessions.
  • Coordinates with administrators throughout campus to develop cross-departmental tutorials and policies.
  • Ensures that assistants remain aware of and compliant with relevant departmental and university policies.

Faculty Liaison

  • Meets with faculty members to assess the scope of their individual support needs.
  • Seeks feedback on departmental support services.
  • Advises visiting and newly hired faculty on the full scope of services offered by the Office of Faculty Support.
  • Stays up-to-date on calendars and timelines relevant to faculty. Examples include faculty meetings, retreat dates, workshop lunches, faculty installations, and other special events.
  • Assesses the usage levels of individual faculty members to ensure that they are assigned to assistants with appropriate availability.
  • When faculty have questions or requests that must be handled by other departments, the Assistant Director triages these issues to the appropriate points-of-contact throughout the university.
  • Compiles and presents reports on faculty expectations, their changing needs, and their satisfaction with the GULC support services.
  • When questions or concerns must be escalated, the Assistant Director works with the Director of Faculty Support, Director of Faculty Affairs, and Associate Dean of Research and Academic Programs to develop solutions, create or revise policies, and issue memorandum to faculty.

Performance Management

  • Maintains documentation on staff performance throughout the year; compiles feedback from faculty on performance, skill level, and responsiveness.
  • Assists with completing interim evaluations each fall; ensures that staff are appropriately progressing toward professional and developmental goals.
  • During the annual performance review cycle, communicates deadlines and expectations; instructs staff on how to complete self-assessments and develop SMART goals.
  • During the review cycle, the Assistant Director will seek out and track faculty feedback on individual assistant performance.
  • As needed, assists with development and remediation plans to facilitate performance improvement.
  • Oversees weekly time-tracking and leave approvals for direct reports.
  • Tracks, documents, and addresses performance and attendance issues; escalates issues to Human Resources when necessary.

Financial Oversight

  • Remains up-to-date on policies surrounding faculty research accounts, expense reports, and university-related travel.
  • Compiles questions from assistants on financial policies and faculty needs that require additional clarification; works with Financial Affairs to identify solutions.
  • Drafts faculty-specific financial updates or communications that must be conveyed to faculty assistants.
  • Assists with tracking and reconciling departmental cost center.
  • When necessary, utilizes GMS (Workday) for budget-to-actuals reporting, requisitions, and journal vouchers.

Qualifications

  • Bachelor's degree
  • 5 years of administrative and customer service experience - experience in higher education and/or legal services
  • Strong project management, communication, conflict resolution, and customer service skills
  • Advanced proficiency in the use of Microsoft Office suite, Adobe, spreadsheets, instructional technologies such as Canvas, and cloud storage solutions
