The Theater Programming Coordinator will support the Theater Producing and Programming office in managing the day-to-day operations of the department's presented and produced shows at the Kennedy Center for the Performing Arts. The Coordinator's work will focus on company management, invoicing, house seats, and production logistics. Additional duties will include managing the administrative needs of the department and assisting with issuing and finalizing offer memos and contracts.

The Coordinator must be able to exercise discretion in order to prioritize assignments, as many projects are time sensitive and involve concurrent deadlines. An eagerness to take initiative, communicate and problem solve with a positive attitude is essential.

Duties and Responsibilities:

25% Company Management: coordinate travel, housing, visas, and itineraries for participating artists; manage onsite hospitality for all presented and produced shows

25% Process weekly invoices, payments, reimbursements, and wires. Organize and process department credit bills.

15% Oversee routing and approvals for all marketing, press, and Playbill materials for the department

15% Manage House Seat books, orders, confirmations, and receipts for all presented and produced shows

10% Maintain Theater Programming events in ArtsVision (internal booking calendar). Manage season handbooks, contact sheets, and collateral

5% Coordinate all contract edits and signatures for department presentations and productions

5% Process union reports

Education/Experience

A bachelor's degree is preferred for this position; strong math and accounting skills a plus

Minimum of two years' work experience, with preferred experience in office management, accounting, company management, or hospitality.

Minimum Skills and/or Knowledge Required

Strong interpersonal skills and the ability to interact with a variety of internal and external constituents

High-level organizational skills that reflect the ability to perform and prioritize multiple tasks

Knowledge of or interest in the performing arts

Proficiency in the Microsoft Office Suite required; expertise in Excel preferred

Tessitura experience a plus

Ability to work nights and weekends as required

Physical Demands

Some evening and weekend work required.

While performing the duties of this job, the employee is regularly required to communicate in person and on the telephone. The employee is frequently required to use hands to finger, handle, or feel in order to operate computer keyboard, office equipment, and other essential tasks. The employee is frequently required to sit, stand, walk, bend, stoop, crouch, and reach with hands and arms. This position infrequently lifts, carries, or otherwise moves and positions objects weighing up to 25 pounds.

Work Environment

The noise level in the work environment is normal.

Travel outside of Washington, DC metro area is not required.
