Program Assistant, Accessibility
This position assists in the administration and execution of the Kennedy Center's Accessibility programs including day-to-day office support and administrative services; working with volunteers; access and accommodation services for patrons, visitors, artists and Kennedy Center employees with disabilities; logistics and registration for meetings and conferences; support for resource development; and other accessibility projects as assigned at the discretion of the Manager of Accessibility. Responsibilities and the intensity of the workload will vary depending on the cyclical nature of the programs and season.
Duties and Responsibility:
35% Accessibility Accommodations and Patron Services
Provide excellent customer service to patrons and visitors and assist in the provision of accessibility accommodations and services for Kennedy Center performances, programs, events, and activities. These services and accommodations include sign language interpretation and captioning/CART; audio description; Braille and large print production; maintenance and tracking of assistive listening devices and courtesy wheelchairs; resources materials for sensory-friendly performances; and other accommodations, services, and programs for people with disabilities. This includes working performances, shows, and events on evenings and weekends when accommodations are provided.
30% Office and Program Administration
Assist with administrative functions and daily operations including but not limited to responding to requests for information regarding accessibility via phone, in person, and via email; maintaining distribution lists; collecting and tabulating data from various sources regarding accommodation usage; ensuring effective, accurate, and timely communications within the institution, with patrons, and with independent contractors; keeping files and records current and in an orderly manner; preparing and keeping current financial information, processing contracts, requisitions, and purchase orders in a timely manner. Manage volunteers who work in the office on access programs. Interface with and maintain good working relationships with staff around the Kennedy Center.
25% Conferences, Meetings, Workshops, and Training
Assist with logistics and registration for meetings, workshops, trainings and conferences including maintenance of registration lists; timely and accurate communication with participants; hotel and travel arrangements; production of paper and digital conference materials; site reservation, setup, and catering; and accessibility accommodations. Some travel may be required.
10% Resource Development and Cultural Arts Accessibility Network Support
Assist with the development, design, and dissemination of digital resources on cultural arts accessibility, and execute the daily administrative tasks associated with the maintenance and support of national and international networks.
Bachelor's or Associates Degree. One to two years' experience with office administration and background and interest in the performing arts, arts education and working with people with disabilities.
Minimum Skills and/or Knowledge Required
Must possess stellar interpersonal and communication skills, have a collegial and pleasant manner and demeanor. Must be professional, enjoy providing outstanding customer service, and be able to build and maintain relationships with internal and external customers.
Strong organizational and planning skills are critical. Must be able to manage details and logistics for meetings and conferences; anticipate project needs; discern work priorities; meet deadlines; handle numerous tasks simultaneously; and handle confidential information. Must be flexible and able to respond to changing priorities and show good judgment.
Ability to take charge and work independently and also to take instruction and work with a team.
Requires excellent written and verbal communication and proofreading ability. Must have strong office administration skills and knowledge of Microsoft Office software including Word, Excel, PowerPoint, and Outlook.
Must be comfortable interacting with staff, colleagues, vendors, contractors, patrons, older adults and persons with disabilities. Knowledge of arts, education and disability issues, and comfort with interacting and working with people of all ages with a variety of disabilities.
