Summary of Position: HPS is seeking a Scheduler & Operations Associate to support the principals, human resources, and back office operations of our growing firm. The successful candidate will have previous experience supporting organizations in operations roles, ranging from scheduling to human resources support, and experience demonstrating the utmost discretion with sensitive matters. Duties & Responsibilities: Serve as primary administrative support to firm principals, preparing them for productive days and ensuring they're focused on what's important. Duties include: Manage partner schedules, addressing calendar issues, meeting planning, and preparation of materials as required Develop strategies to increase efficiency of partner schedules Assist in client management and business development responsibilities, preparing research and materials for meetings and providing day and week ahead background briefings Support external networking opportunities Coordinate domestic and international travel Prepare and submit expenses for partners Complete ad-hoc tasks as they arise Assist the Director of People Operations in supporting the entire employee life cycle, ensuring an exceptional employee experience. Duties include: Recruiting - coordinate in person and virtual recruiting activities including scheduling interviews, liaising with candidates, and preparing for information sessions Onboarding and Training - process new hire paperwork in the HRIS and support the orientation process for new employees, shepherding the new hire training week Benefits - help employees navigate their benefits and be the first point of contact for questions or challenges Performance Management - help execute the bi-annual performance review process by creating and updating online forms and scheduling reviews firm-wide Policies and Procedures - assist in maintaining HR policies and procedures, supporting the annual handbook update process Support the daily operations of the firm in conjunction with the other operations team members, including the following responsibilities: Regularly answer phones, greet guests, and cover the front desk when the receptionist is on break or out of the office Serve as back-up scheduling point of contact for other schedulers when they are out of the office Provide on-site technical troubleshooting support when the IT & Operations Associate is out of the office (phone, video conferencing, A/V needs in conference rooms, etc.) Qualifications: Bachelor's degree in Human Resources, Business Administration, Organizational Development, Political Science, Economics, or other relevant field preferred 1-3 years of experience supporting executives or working with operations or human resources teams on recruiting, onboarding, or benefits administration Strong customer service mentality and ability to take initiative and solve problems creatively and efficiently Excellent verbal and written communication skills required Strong appreciation for organization and attention to detail, understanding the importance of data consistency and accuracy in all employee-related matters High degree of integrity, with the ability to maintain professionalism and confidentiality at all times Demonstrated ability to prioritize multiple, competing demands Team player with a positive attitude and friendly demeanor Ability to embrace change and maintain a continuous learning mindset Proficiency in Microsoft Office Suite to include Word, Excel, and PowerPoint General comfort level with technology required; experience with HRIS, Google Apps and Box preferred Benefits: Salary commensurate with experience Excellent health care benefits, with 100% of individual employee and 50% of dependent health care premiums covered Competitive retirement benefits with 401(k) matching Twelve weeks paid parental leave Monthly stipend for cell phone Generous paid time off and holiday schedule Frequent firm-wide social events and activities Excellent environment for leadership development
